We are seeking an experienced, highly professional Executive Assistant to provide direct support to the EMEA VP and Senior Leadership Team, while also overseeing office management for our London headquarters.

This role is first and foremost a trusted executive partner — managing priorities, facilitating communication, and ensuring regional leadership operates efficiently and effectively. In addition, you will take ownership of the day-to-day operations of the EMEA office, ensuring a seamless, safe, and engaging workplace environment.

This is a high-impact, highly visible role suited for someone who thrives in a fast-paced global technology environment and enjoys balancing executive partnership with operational oversight.

Key Responsibilities

Executive & Leadership Support

  • Serve as a strategic partner to the EMEA VP and Senior Leadership Team.
  • Manage complex calendars, scheduling, and shifting priorities across multiple stakeholders and time zones.
  • Coordinate domestic and international travel arrangements.
  • Prepare meeting agendas, presentation materials, reports, and supporting documentation for leadership meetings.
  • Support regional leadership meetings, offsites, and planning sessions.
  • Track key initiatives and follow-ups to ensure alignment and timely execution.
  • Facilitate clear and efficient communication across senior stakeholders.
  • Handle highly confidential and sensitive information with discretion and professionalism.

Office Management & Workplace Operations

  • Oversee day-to-day operations of the London office, ensuring a safe, organized, and productive environment.
  • Serve as the primary liaison with building management and external service providers.
  • Manage office access, workspace planning, supplies, and equipment procurement.
  • Oversee vendor relationships including cleaning services, catering, security, and maintenance providers.
  • Monitor office budgets and track operational expenses.
  • Ensure compliance with UK health and safety regulations, including emergency preparedness and fire safety coordination.
  • Maintain workplace standards that support employee engagement and company culture.

Events & Engagement

  • Coordinate logistics for internal meetings, leadership offsites, and company events.
  • Manage vendors, venues, budgets, and communications.
  • Support execution of engagement activities aligned with company culture.

Qualifications

  • 8–10+ years of Executive Assistant experience supporting VP or C-Suite leaders, preferably within a global technology organization.
  • Demonstrated ability to manage complex schedules and multiple executives simultaneously.
  • Experience overseeing office operations or facilities management.
  • Strong organizational and project management skills with exceptional attention to detail.
  • High degree of professionalism, discretion, and sound judgment.
  • Strong written and verbal communication skills.
  • Financial acumen, including experience tracking budgets and expenses.
  • Familiarity with HR processes such as onboarding, HRIS systems, and immigration coordination.
  • Advanced proficiency in Microsoft Office Suite and collaboration tools.
  • Ability to work occasional extended hours or manage urgent matters as needed.
