Job Description

In this dynamic and all-encompassing role, you’ll provide vital support to the Global Business Services Director and Senior Leadership Team, based in London.

Your ability to work collaboratively as part of a team, while demonstrating substantial independence and initiative, will be key. You’ll confidently and proactively navigate a variety of people, tasks, and situations, ensuring success in this role.

Here’s what you can expect to take on:

  • Efficient management of the GBS Director's time, and oversight of their diary to ensure it aligns with business priorities across global time zones. Advanced MS Outlook essential
  • Be the point of contact for the GBS Director, supporting on:
    • Managing mailbox with efficiency and discretion.
    • Manage the processing of expenses via Barclaycard Spend Management (online system). 
    • Organising local meetings and global conference calls – both audio/video, lunches as necessary, across several different time zones, notifying front of house (FoH).
    • Organise and set agenda for large, often complex cross-business executive events, including but not limited to PLC PM, PPPs, budget meetings, off-sites, and others.
    • Preparing presentations, reports (Intermediate user of MS PowerPoint/Word essential)
    • Co-ordinating team meetings by collating agenda, actions, issues when required.
  • Liaise with the Service Delivery team to ensure clear communication and clarity on business challenges and opportunities, including organising departmental events including team volunteering.
  • Management of communication between GBS, Group and Divisional senior leadership and the wider business.
  • Manage the processing of invoices via SAP (online system). Training will be provided.
  • Key relationships for this role will be EA/Pa’s across the Global Support functions. Flexibility to cover senior EA’s absence, as and when required.

Qualifications

  • Candidates applying must have previous experience supporting senior individual's within a large organisation.
  • Excellent verbal and written communication skills
  • Strong interpersonal skills with an emphasis on working within a team spirited environment.
  • High standards of accuracy, quality and attention to detail.
  • Flexible and possess ability to adapt to a fast-changing and growing environment.
  • Strong time management skills and ability to prioritise and work effectively under pressure without compromising quality whilst meeting tight deadlines.
  • Enthusiastic, confident, outgoing "people-orientated" personality required - able to liaise with people to achieve work goals whilst enhancing relationships.
  • Ability to keep information organised and confidential.
  • Note-taking skills
