The Role

We have an exciting opportunity for an accomplished Executive Assistant to join a dynamic, entrepreneurial and fast-moving broking environment. This position will play a crucial role in supporting the Executive Chairman and CEO with key responsibilities from complex diary management to global event co-ordination. This key role offers the opportunity to be at the centre of driving the company’s success. 

Responsibilities

 

               Manage day-to-day office operations, ensuring a professional, organised, and efficient working environment

               Proactively oversee facilities management, including responsibility for office health and safety, ensuring compliance with relevant policies and regulations and escalation, where required

               Act as the primary point of contact for suppliers, managing stock levels and office supplies

               Meet and greet business visitors, clients and guests

               Coordinate and arrange corporate gifts for both staff and clients

               Handle incoming telephone calls and email enquiries, prioritising and responding as appropriate

               Organise and coordinate office training, meetings, events, conferences, and client hospitality

               Provide high-level executive support to the Founder, CEO, and Executive team, including complex diary management, meeting coordination, travel planning (booking flights and hotels), and expense management

               Manage demanding diaries and international travel, producing detailed itineraries and resolving any conflicts

               Proactively manage the CEO’s inbox, identifying priorities and ensuring timely follow-up

               Act as a trusted liaison between senior leadership and internal/external stakeholders, ensuring clear communication and follow-through

               Coordinate meetings across multiple time zones

               Prepare and format documentation including agendas, board and committee papers, minutes, and action logs

               Support special projects by producing reports, documentation, and presentations

               Prepare and submit executive expense reports

               Provide ad hoc administrative and event support to department heads and the wider business as the company continues to scale



Requirements

Technical skills / competencies

 

               Proven experience managing complex international travel bookings, including flights, accommodation, visas, and detailed itineraries - essential

               Demonstrate previous experience in a similar role within financial or professional services – essential

               Hyper organized; excellent multi-tasking skills in a high-pressure environment - essential

               Working collaboratively, building excellent working relationships with internal and external stakeholders

               Tech savvy; advanced skills in MS Office (Outlook, Word, Excel, PowerPoint)

               Strong interpersonal skills and customer service focus - essential

               First-class problem-solving skills; resilient – essential

               Good verbal and written communication skills

               Excellent written and verbal communication, and analytical skills – essential

               Adaptable; ability to multi-task and manage time effectively, managing expectations of key stakeholders - essential

               Proactive approach to work with meticulous attention to detail - essential

               Maintains confidentiality and discretion at all times – essential
