- Manage complex calendars, including scheduling meetings, resolving conflicts, and prioritizing time effectively
- Coordinate internal and external meetings across multiple stakeholders and time zones
- Prepare meeting agendas, materials, and follow-ups, ensuring clear communication and alignment
- Draft and manage correspondence on behalf of executives, maintaining a high level of professionalism and accuracy
- Monitor and triage email and Slack communications to ensure timely responses and follow-through
- Track key priorities, action items, and deadlines to support execution across the team
- Coordinate travel arrangements, expenses, and logistics as needed
- Support planning and coordination of team meetings, events, and offsites
- Build strong relationships with cross-functional partners and act as a point of contact for internal and external stakeholders
What We're Looking For
- 3-5 years of experience supporting senior leaders, preferably within a marketing, creative, or fast-paced environment
- Demonstrated experience supporting multiple executives simultaneously
- Prior experience working with marketing, creative, or cross-functional teams
- Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- High attention to detail and a strong sense of ownership
- Ability to handle confidential information with discretion and professionalism
- Proactive, resourceful, and solutions-oriented mindset
- Comfortable working in a dynamic, fast-changing environment
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and related tools
- Experience coordinating team events or offsites
