About The Role
We are looking for a proactive, highly organised Personal Assistant to provide dedicated 1:2 support to the Head of Private Office and Head of Partnerships.
This is a fast-paced and varied role where you will act as a trusted right-hand partner, managing priorities, anticipating needs and ensuring the smooth running of day-to-day activities. You will bring a solutions-focused mindset, excellent judgement and a calm, discreet approach.
Key Responsibilities
Diary and stakeholder management
- Manage complex and ever-changing diaries, anticipating conflicts and prioritising effectively
- Coordinate internal and external meetings, including logistics, room bookings and virtual setup
Meeting support and materials
- Prepare briefing packs, documents and presentations
- Attend selected meetings, take minutes and track actions
- Create high-quality PowerPoint presentations
Correspondence and administration
- Screen and manage inboxes, calls and communications
- Maintain organised digital filing systems
Travel and expenses
- Arrange UK and international travel, including detailed itineraries
- Process and submit expenses
Business support and coordination
- Act as an ambassador for stakeholders internally and externally
- Build strong relationships across the business and with clients
- Support IT troubleshooting where needed
- Assist with appraisal processes including scheduling and documentation
Team and board coordination
- Work closely with the Senior Executive Assistant on board-related actions
- Support holiday tracking and approvals for wider teams
- Collaborate with the PA community and provide cover when required
Events and projects
- Support internal and external event coordination
- Assist with ad hoc projects and wider team initiatives
About You
- Minimum 2 years’ experience in a PA role, ideally within financial or professional services
- Strong Microsoft Office skills including Outlook, Word, Excel, PowerPoint and Teams
- Excellent organisational skills with the ability to manage competing priorities
- Professional, discreet and confident in handling sensitive information
- Strong communication skills, both written and verbal
- Collaborative and adaptable, with a proactive approach
- Experience supporting senior stakeholders preferred
