Job DescriptionWe are looking for an experienced Executive Assistant to support the Managing Director in EDQ and one of his direct reports.
In this role, you will be providing high-level support to a senior leader with regional and global responsibilities. You will be using excellent judgement, resilience, and the confidence to manage competing priorities, navigate complex stakeholder relationships, and make informed decisions on the MD's behalf.
The role is heavily focused on inbox and diary management, coordinating travel, supporting strategic business activities, and enabling collaboration across a diverse network of stakeholders.
Key Responsibilities
- Manage complex and dynamic diaries for the Managing Director and one of their direct reports, ensuring effective prioritisation of time and business-critical activities.
- Act as a trusted gatekeeper, confidently challenging requests and prioritising stakeholder access based on business needs and strategic priorities.
- Coordinate domestic and international travel arrangements, including complex multi-country itineraries, accommodation, visas, and logistics.
- Exercise sound judgement when making decisions on behalf of the MD, understanding when issues can be managed independently and when approval is required.
- Build strong working relationships with Executive Assistants and key stakeholders across the UK and globally to facilitate seamless collaboration and support.
- Handle sensitive and confidential information with absolute discretion and professionalism.
Business & Project Support
- Support the delivery of regional and global business initiatives, projects, and leadership priorities through effective coordination and tracking.
- Prepare presentations, briefing materials, dashboards, reports, and executive communications.
- Track actions, initiatives, and key deliverables, ensuring progress is monitored and deadlines are achieved.
- Support governance activities, leadership meetings, and business reviews and assist with data gathering, reporting, and maintaining business documentation where required.
Events & Global Team Support
- Partner with stakeholders across multiple regions to support business events and engagement activities.
- Facilitate effective communication and collaboration across different time zones and cultures.
- Act as a key point of contact for internal and external stakeholders.
- Experience working as an Executive Assistant or Personal Assistant supporting a Managing Director, Executive Committee member, or senior leader within a global organisation.
- Expert diary and inbox management skills, including managing complex schedules across multiple time zones.
- Proven ability to confidently challenge and influence stakeholders to protect executive priorities.
- Strong judgement and decision-making skills, with experience acting on behalf of senior leaders where appropriate.
- Ability to navigate complex stakeholder environments and identify which relationships and priorities require immediate focus.
- Experience building effective networks with Executive Assistants and senior stakeholders
- Strong understanding of global business practices, cultural nuances, and international working environments.
- Excellent organisational skills with the ability to manage multiple priorities and changing demands.
- High levels of resilience, adaptability, and professionalism.
- Advanced Microsoft 365 skills, including Outlook, PowerPoint, Excel, Teams, and Word, with experience producing presentations and executive-level materials.
