Job Description- Provide crucial oversight across all CF functionalities, being the eyes and ears for the team and pre-empting day-to-day needs/workloads/challenges. Excellent communicator for all.
- Proactive Executive Assistant including diary management for the CF/DA Partner and Director team.
- Build client relationships and provide excellent front of house services when required to augment London Support team.
- Assist National CF Support Teams when requested, always approachable and proactive team member, keen to help.
- Book travel, hotels, and restaurants, plus detailed itineraries for domestic/international trips.
- Book couriers and taxis for the team.
- Manage CF/DA Partner and Director expenses, processing accurately and promptly.
- Provide cover for Reading office when required due to part-time resource.
- Support client onboarding including referrals, Conflict Checks and manage deal trackers.
- Assist team with AML, new client entries on FAML, KYC checks, UBO onboarding. Trustworthy with highly confidential/sensitive data.
- Format Engagement Letters, NDAs when required.
- Print and bind pitch books, management presentations and IMs when required and assist with formatting if required.
- Proficient in FRP platforms (training will be provided) including raising sales ledger invoices for clients when required.
- Update and cleanse CRM platform data for the team, assisting with reporting.
- Manage and update electronic filing systems. Assist with data cleansing when required.
- Scan and copy documents.
- Strong IT troubleshooting support for team and manage their IT tickets raised with IT Support.
- Collate and assist with the monthly Gift Register returns.
- Excellent event management for staff events and client hospitality, including budgeting.
- Good and demonstrable knowledge of all aspects of office administration.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Good inter-personal skills and an ability to handle confidential information with a high level of discretion.
- Team player.
- Strong attention to detail and proactive approach.
- Demonstrated experience as a PA or EA supporting senior executives; experience within financial or professional services is advantageous but not essential.
