Provide executive PA support and day-to-day office administration: manage calendars, travel bookings, office systems, events, reporting, supplies, and liaise with internal and external stakeholders. Must be fluent in Mandarin and English.
The EA and Office Administrator plays a key role in the effective day to day running of the Office Support department, working closely with management and key stakeholders to support business initiatives. The successful candidate will need to be fluent in Mandarin and English, both written and spoken.
Key Responsibilities
- Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases
- PA for senior management
- Work closely with the housing letting management team
- Assist with delegations and HQ integrative related work
- Organise company events together with the wider Office Support team
- Collect and coordinate relevant reports for management
- Responsible for travel management, including coordinating the travel approval process, booking flights, hotels, cars and drivers when needed
- Maintain office systems, booking rooms and conference facilities
- Liaise with staff in other departments and with external contacts
- Order and maintain stationery and equipment supplies;
- Organise and store paperwork, documents and computer-based information
- Ad hoc tasks from management and the department
Skills, Knowledge and Expertise
- A Bachelor degree in Management, Business Studies or equivalent is preferred
- Possess a professional background and have demonstrable experience in company communications and administration
- Methodical and organised
- Excellent time management skills
- A strong team player
- Fluent in English and Chinese (written and spoken)
