Job Description

Reporting to the Assistant Office Manager in Brookfield, the role will primarily manage the front of house reception. In return you will be offered a competitive salary and employee benefits.

Responsibilities:

  • Welcome all external guests on arrival (providing hospitality as required)
  • Assist guests with coats, luggage, refreshments, wireless networks, etc
  • Manage the reception desk, ensuring cover at all times
  • Update and manage meeting room calendars accurately, ensuring all meetings/room bookings are kept up to date, accommodating the changing needs of internal staff as required
  • Answer all internal/external phone calls promptly, screening calls and acting as a ‘gatekeeper’ where necessary
  • Work in conjunction with ensuring the Day Operatives are up to date with meeting room requests and proactively ensure all rooms are fully stocked and kept clean post meetings
  • Be supportive to colleagues and assist with various Facilities tasks when required.
  • Manage access passes to the building, be security conscious and act accordingly
  • Coordinate catering and hospitality requirements for internal and external staff punctually and to a high standard
  • Manage and prepare all incoming and outgoing mail
  • Arrange and coordinate courier requests
  • Ensure the reception area is well maintained in coordination with Facilities
  • Review and update Reception processes

The ideal candidate will:

  • Have 1 to 3 years of experience in a corporate environment

  • Robust IT skills; Proficient in use of the Microsoft suite
  • Excellent organising skills – proven ability to manage effectively in a busy, demanding environment
  • Previous experience in a reception or customer facing role would be advantageous
     

It is essential that the selected candidate has the flexibility to provide cover for holiday and sickness of the other receptionists.
