Job Title: Contract Support

Location: Crown Place - Near Liverpool Street, London.

BGIS is a progressive company operating within the Engineering industry, delivering Electrical and Mechanical services across commercial properties. The Contract Support role requires close liaison with Contract Managers, Engineers and external contacts to ensure all paperwork is processed accurately and clients receive a professional service. The role reports to the onsite Contract Manager.

Key Responsibilities:

• Dealing with day‑to‑day enquiries from BGIS teams and clients
• Producing financial and statistical reports for the contract portfolio
• Working closely with site teams to ensure all responsibilities are completed on time
• Raising work orders for new contracts, jobs and quotes
• Raising purchase orders and placing orders for engineers and sub‑contractors
• Completing all paperwork for monthly billing
• Raising and closing monthly PPMs for the team
• Supervising all WIP for the contract portfolio to ensure timely invoicing
• Maintaining accurate and up‑to‑date client files
• Processing weekly timesheets, job sheets and expenses
• Logging holiday and sickness for engineers
• General administrative duties including photocopying and filing
• Annual archiving of client files
• Communicating positively with internal and external customers to optimise contract performance
• Ensuring all required Health & Safety and legislative documentation is received from sub‑contractors
• Maintaining sub‑contractor records and the site Log Book system
• Processing labour timesheets and engineer absence records
• Producing weekly and monthly statistical reports
• Processing supplier and sub‑contractor invoices and resolving related queries
• Taking ownership of tasks through to completion
