As a Business Assistant within our Risk Management & Compliance team, you will support the department’s senior executives in a fast-paced environment. You will work with limited direction and exercise sound judgement. This is your chance to demonstrate a high degree of confidentiality, a strong work ethic, effective time management, resourcefulness and diligence, as well as a clear focus on business and client deliverables.

Job responsibilities

  • Provide advanced, proactive diary management, including senior internal and external meetings, conference calls, and the orchestration of off-sites, town halls, skip-level meetings and senior board engagements
    • Partner with relevant groups to coordinate travel and entertainment bookings and facilitate expense processing in line with policy; escalate and enforce all CIB and firmwide T&E policies within the team, including receipt requirements and the timely handover of required information
    • Manage internal and external client relationships, including interactions with senior stakeholders across a range of industries globally, as well as departmental scheduling and transactional activity
    • Engage confidently with wider support groups and partner with Business Management and other key stakeholders across lines of business; act on behalf of senior executives with a strong sense of ownership
    • Use internal systems, complete accurate data entry, produce reports, management information and metrics, and collate information using the Microsoft Office suite as required
    • Maintain oversight of distribution lists, technology usage and other administrative housekeeping
    • Become an integral part of the business, understand changing group priorities and business expectations, and take appropriate action

    • Partner with assistants across lines of business to provide cover as required and build a global network

    • Take on additional projects and training responsibilities, subject to performance and suitability


Required qualifications, capabilities, and skills 

  • Demonstrate professional executive and client management skills, with the ability to build and maintain strong business relationships

    • Manage complex executive diaries with sound judgement and a clear understanding of competing priorities. Coordinate complex travel arrangements, producing accurate itineraries and contingency plans, navigating systems confidently, optimising travelers' time and maintaining oversight of business costs

    • Communicate effectively in writing and verbally, demonstrating a high degree of confidentiality, professionalism and gravitas. Maintain a polished and professional approach, remaining calm and composed under pressure and working effectively across different levels of seniority

    • Take a positive, common-sense approach and manage senior executives’ schedules with ownership

    • Use Microsoft Office applications and relevant internal systems confidently to manage information, produce reports and support executive workflows. Apply strong knowledge of expense systems and cost-control initiatives, champion expense policy and challenge stakeholders at the point of booking where necessary

    • Demonstrate proactivity and ownership within the role. Remain flexible, willing and receptive to change

    • Maintain a high level of attention to detail and a commitment to delivering high-quality results

    • Demonstrate a strong understanding of investment banking culture, quickly grasp the organisational landscape and identify key stakeholders

    • Work collaboratively as a strong team player with a solution-oriented approach. Act as a role model and mentor to peers

    • Stay current with all firmwide policies, ensure that those supported understand how to comply with them, and escalate concerns or issues where appropriate

    • Fluent English and strong level written and verbal communication in German
