Job Description
Ultra Cyber are recruiting an Assistant Project Manager to support the planning and management of projects which allow the business to deliver its strategic objective. The Assistant Project Manager is assigned by the business to support the delivery Project Manager in leading the team that is responsible for achieving the project objectives.

Key Responsibilities

  • Create and maintain project schedules, ensuring timely, responsive completion of deliverables.
  • Coordinate the availability of resources, including personnel, equipment and materials to ensure timely project execution and minimise delays.
  • Support conflict resolution between stakeholders or departments where priorities cannot easily be called and support collaboration between cross-functional teams to maintain project momentum
  • Facilitate communication between key internal department resources and develop appropriate strategies for effectively engaging stakeholders in project decision and execution.
  • Direct customer interface, including presentation of monthly and weekly reports as directed by the project manager, or as a stand in for the project manager.
  • Organise regular project meetings, maintaining clear communication of progress updates and ensuring action items are tracked and completed.
  • Ensure project documentation is maintained and made available in accordance with project management processes and company policies.
  • Identify project risk, develop resolution strategies and implement measures to minimise impact to project timelines.
  • Track and monitor project budgets, where necessary coordinate with PMs and Finance to address any cost related concerns.
  • Ensure project activities are executed in line with established workflows and quality standards, while regularly monitoring project deliverables to ensure they meet the required specification.
  • Presentation to the senior management team on project status and issues on behalf of the project manager.
  • Identification of project issues before they happen and timely reporting to the project manager or wider business.
  • Manage the change request process, ensuring any changes to scope, schedule, or resources are properly documented and are effectively communicated to all relevant stakeholders.

Skills and Experience Required

Essential:

  • Proven experience providing support to Project Management teams to achieve project deliverables within defined time, budget, and quality constraints.
  • Demonstrable ability to understand technical concepts to allow participation in analytical project discussion.
  • A good understanding of the project lifecycle and project management processes including; project scheduling, risk management and change control.
  • Demonstrable experience in stakeholder engagement and management.
  • Excellent verbal and written communication skills with strong relationship-building ability.
  • Demonstrated leadership potential through effective communication, accountability, taking initiative and providing guidance team members.
  • Strong organisational skills with the ability to prioritise tasks and problem-solve. 
  • Analytical skills for cost tracking, schedule management, prioritisation of tasking and risk analysis.
  • Proficient in MS Office suite (Excel, Outlook, PowerPoint, Word).
  • Ability, and willingness, to obtain and maintain SC and DV security clearance.

Desirable:

  • Recognised Project Management qualification (APM, Prince2 or equivalent).
  • Experience using project management tools e.g. Jira / MS Project
  • An Engineering or technical background.
  • A good understanding of the engineering life cycle.
