Principales missions :

Soutien administratif exécutif

Les principales responsabilités comprennent, sans s'y limiter : 

  • Gestion du calendrier : Gérer l'emploi du temps du cadre en planifiant des réunions, des rendez-vous et des conférences, y compris l'envoi de rappels et la coordination avec les participants.  

  • Préparatifs de voyage : Réservation de voyages, y compris les vols, l'hébergement et le transport, et gestion des notes de frais. 

  • Coordination des réunions : Préparer les ordres du jour des réunions, rédiger les comptes rendus, distribuer les mesures de suivi et assurer le suivi des décisions prises. 

  • Préparation de documents : Rédiger de la correspondance, des rapports, des présentations et d'autres documents au besoin. 

  • Gestion de projet : Aider à la planification du projet, suivre les progrès et coordonner avec les parties prenantes concernées. 

  • Soutien à le gestion des budget marketing: les bons de commande, l'allocation et le suivi du budget marketing. Rationalisation efficace des dépenses marketing (allocation correcte des dépenses dans Agora) et « réception » en temps opportun dans le trimestre convenu 

  • Soutien aux événements externes : Événements clients et Congrès pour l'International (demande exceptionnelle mondiale). (Sélection des lieux, des commodités, de la nourriture et des boissons afin de nous aligner sur les exigences de conformité), contrats, paiements. Logistique des matériels et équipements marketing et gestion du stockage, (conformité, contractualisation et paiements). Cela nécessite de jouer avec les besoins en matière de comptabilité fournisseurs, de conformité et de budget et de travailler en étroite collaboration avec les équipes marketing. 

  • Gestion AST : Doit être formé au processus IPP, en veillant à l'alignement avec les règles de conformité et au paiement final du client. Processus SOAR/ SAM pour ajouter un nouveau fournisseur ou client dans la base de données. 

  • Confidentialité : Maintenir la discrétion et protéger les informations sensibles.

Qualifications souhaitées: 

  • Ce rôle nécessite une expérience de base dans le domaine du marketing et du soutien aux cadres.

  • Le niveau de connaissances est comparable à celui d’un niveau bac+3 ou licence (ou à un diplôme d’études secondaires avec une expérience pertinente). 

  • Une bonne maîtrise de l'angalis est nécessaire.

Executive Admin Support:  

Key responsibilities include but not limited to: 

  • Calendar Management: Managing the executive's schedule by scheduling meetings, appointments, and conferences, including sending reminders and coordinating with attendees.  

  • Travel Arrangements: Booking travel, including flights, accommodations, and transportation, and managing expense reports. 

  • Meeting Coordination: Preparing meeting agendas, taking minutes, distributing action items, and following up on decisions made. 

  • Document Preparation: Drafting correspondence, reports, presentations, and other documents as needed. 

  • Project Management: Assisting with project planning, tracking progress, and coordinating with relevant stakeholders. 

  • Marketing budget admin. support purchase orders, allocating and tracking. Efficient rationalization of marketing spends (correct allocation spends in Agora) and timely “reception” in agreed quarter 

  • External event support: Customer events and Congresses for International (Global exceptional demand). (selection of venues, amenities, food and beverage so we align with compliance requirements), contracting, payments. Logistics of marketing materials and equipment and storage management in Buc, compliance, contracting and payments). This requires toying with AP, compliance and budget needs and requires working closely with the marketing teams. 

  • AST management: Should be trained in IPP process, ensuring alignment with compliance rules, and end payment of the customer. SOAR/ SAM process to add new supplier or customer in the database. 

  • Confidentiality: Maintaining discretion and protecting sensitive information.
