You:

As part of our Workplace team, we are looking for an enthusiastic Workplace Manager to join our dynamic team in Porto and help shape the day-to-day experience of Feedzaians. As part of the Workplace team, you’ll play a pivotal role in fostering employee engagement while providing essential operational support across the business. Reporting to the Global Workplace Operations Manager, you’ll oversee everything from office operations and facilities to maintenance and special projects, ensuring a smooth, efficient, and welcoming environment. If you’re a proactive problem-solver who thrives on creating an engaging and inviting workspace, we’d love to have you on board!

Your Day to Day:

  • Office management & maintenance
    • Serve as the primary point of contact for all building maintenance, office facilities, mailing, supplies, equipment, and vendor relationships.
    • Ensure the office is fully operational, addressing maintenance issues promptly, and managing office equipment and supplies efficiently.
  • Communication & requests
    • Respond to phone and email inquiries or direct them to the appropriate team members, ensuring timely and accurate communication.
  • Office operations & procedures
    • Oversee office operations, organizing procedures for optimal efficiency and maintaining a productive and well-structured work environment.
    • Coordinate with IT to ensure office equipment and technology function smoothly, addressing any issues that may arise.
    • Manage office space, office openings, help improving layouts, desk management and promote collaboration among employees
  • Clients & visitors management
    • Serve as the face of the office at the front desk, welcoming clients, vendors, and visitors with a professional, warm, and inviting attitude.
  • Employee experience & onboarding
    • Enhance the overall workplace experience by fostering a welcoming, productive, and inclusive environment.
    • Participate in the onboarding process for new employees, ensuring they are integrated smoothly into the company's culture and workspace.
  • Employee engagement
    • Collaborate with the People/HR team to implement and promote engagement plans, fostering employee satisfaction and well-being.
    • Assist in the organization of business meetings, special events, and company gatherings, ensuring seamless execution and logistical support.
  • Cross-departmental collaboration
    • Partner with the Finance team in regards to purchase orders, vendors payments, mail management, signatures
    • Work closely with HR to develop, update, and enforce office policies, ensuring compliance and smooth office operations.
  • Travel availability
    • Be available to travel to other office locations as needed, providing on-site support and guidance for office management in different regions.

You Have & You Know-how:

  • Ideally 2-4 years of experience as an Office Manager
  • Exceptional customer service and organizational skills
  • Ability to multi-task and to work in a fast-paced environment
  • Fluency in English (mandatory)
  • Good skills in MS Word, Excel

This is an On-Site role based on our Porto Office and will require weekly visits to our Coimbra office.

Your First 30-Days at Feedzai:

You will be immersed in our brand with training, connections, and one-on-one time with your manager. You may shadow your colleagues virtually or onsite at an office depending on where you work as you are supported through your Feedzai journey. In addition, you will have access to a ton of information to give you history, context, and all the knowledge you can handle about Feedzai and the team. Finally, you will start working on projects and collaborating on work currently being done. We can't wait to have you join the team!
