Role Description

We’re looking for a Workplace & Office Operations Coordinator to help create a smooth, welcoming, and well-run office experience at Fonoa. This is a hands-on role that sits at the centre of how our London team works day to day - making sure the office runs reliably, feels great to be in, and supports our ways of working as we scale.

You’ll take ownership of workplace operations, office logistics, and event coordination, partnering closely with People and Operations teams and working with vendors and stakeholders to continuously improve the employee experience. This role is ideal for someone who is proactive, organised, and gets real satisfaction from making things work brilliantly behind the scenes.

What you will do
  • Own day-to-day office operations for the London office, ensuring it is well organised, welcoming, and aligned with Fonoa’s ways of working

  • Provide remote workplace and office operations support for other Fonoa offices as needed, partnering with local stakeholders and vendors

  • Act as the first point of contact for workplace and office-related queries, ensuring issues are resolved quickly and smoothly

  • Manage office logistics including supplies, vendors, facilities requests, and access management and general upkeep

  • Coordinate internal and external meetings, including room bookings, calendars, catering, and AV setup

  • Support onboarding logistics from a workplace perspective, including desk setup, access, and office orientation

  • Plan and support team events, gatherings, and company-wide initiatives, both locally and in partnership with teams across the business
    Communicate key office updates clearly and proactively, including workplace changes, events, and practical information employees need

  • Partner with People and Operations teams to continuously improve the workplace experience as Fonoa scales

  • Support the wider People Team with coordination requirements, including candidate interviews and candidate experience.

You’ll be a great fit if:

  • You are proactive, dependable, and comfortable taking ownership of day-to-day operations

  • You are comfortable working in a fast-paced, scaling environment

Extra points if you:
  • Have experience working in a high-growth or international tech company

  • Are familiar with tools such as Google Workspace, Slack, calendar and booking systems

  • Have experience supporting hybrid or distributed teams
