The Workplace Experience (WE) Team at Unity is dedicated to creating an incredible and innovative working environment that nurtures creativity and community. In this role, you’ll report to the Territory Leader, and will be the face of Unity’s Stratford-upon-Avon office for employees, visitors, and candidates.

What you'll be doing

  • Welcome Unity’s guests, clients, vendors, and employees with a positive, engaging presence.
  • Provide support to employees with daily workplace needs, both in person and virtually, and maintain the office’s Simpplr page (internal webpage) with up-to-date information about the office.
  • Manage 1-2 weekly employee lunches in collaboration with vendors.
  • Partner with Unity’s Security team to implement security protocols for visitors, candidates, and employees. Manage office access cards, including issuing and maintaining new cards.
  • Build and maintain strong relationships with vendors, such as janitorial and catering services. Collaborate with the Workplace Territory Lead and Unity’s Sourcing and Procurement team for QBRs and RFPs to ensure high-quality service and value for money.
  • Collaborate with the Territory Lead to manage and track the office budget, raise purchase requisitions, and ensure invoices are processed on time.
  • Assist in the planning and coordination of onsite events alongside your colleagues.
  • Maintain office and pantry supplies by monitoring inventory and anticipating needs.
  • Oversee ongoing upkeep of office facilities, coordinating repairs and maintenance with vendors, and working with the landlord to maintain shared facilities.
  • Conduct weekly fire alarm tests in compliance with regulations and perform monthly security checks of the office, reporting findings in our internal system.
  • Receive, sort, and distribute mail and packages.
  • Conduct daily walkthroughs to ensure office cleanliness and coordinate with the Health & Safety team to maintain local Health and Safety compliance.
  • Manage office moves and approve desk and parking bookings as needed.

What we're looking for

  • Excellent organizational skills.
  • Strong communication skills, both verbal and written.
  • Effective problem-solving skills with a focus on accuracy, flexibility, and reliability.
  • Good interpersonal skills, a proactive approach, and the ability to multitask and prioritize.
  • Flexibility to assist with special projects as they arise.
  • You are familiar with Google Docs and Sheets
  • Basic computer skills
  • A driving license is needed and access to a car

You might also have

  • Experience in hospitality or customer service is a plus.
  • Proficiency in Mac and Windows, including MS Office (Excel, Word, PowerPoint, Outlook) and Gmail/Google Calendar.
  • Comfortable working with external vendors for facility-related tasks (e.g., annual fire alarm verification, HVAC maintenance).
  • First Aid/AED/CPR training is preferred.
