We are looking for a Workplace Experience Coordinator to provide support to our London office. The Workplace Experience Coordinator is the heart of our office operations, ensuring a seamless and welcoming experience for employees and visitors alike. This role combines office management, hospitality, and employee engagement to create a positive and productive work environment. You will play a vital part in managing day-to-day office operations, supporting engagement activities, and providing internal communication assistance to keep our team connected and informed.

This position will work out of our office in London 5 days a week, Monday through Friday.

Key Responsibilities

Office Management and Reception:

  • Serve as the first point of contact for all visitors, ensuring a warm and professional welcome.
  • Oversee the reception area, ensuring it is tidy, functional, and reflective of EFG’s brand and culture.
  • Coordinate office supplies, equipment, and services, maintaining an organized and efficient workspace.
  • Manage lunch ordering and delivery for employees, ensuring high-quality and timely service.
  • Handle incoming and outgoing mail and deliveries.

Financial and Administrative Tasks:

  • Manage purchase orders (POs) and expense tracking for office-related needs, ensuring alignment with budget guidelines.
  • Liaise with vendors and service providers, ensuring quality and cost-effective solutions.
  • Provide data to the Sustainability Director on the office's environmental impact for reporting purposes and support broader sustainability engagement initiatives.

Engagement and Event Coordination:

  • Plan and execute office events and engagement activities, fostering a sense of community and connection among employees.
  • Support end-of-year celebrations, team-building activities, and other internal events that enhance workplace culture.
  • Recognition - Game Changer 

Internal Communication Support:

  • Assist in creating and distributing internal communication materials, including newsletters, announcements, and updates.
  • Collaborate with the Internal Communications team to ensure alignment and consistency in messaging.
Requirements

Qualifications and Skills

  • Proven experience in office management, hospitality, or a similar role.
  • Strong organizational and multitasking skills with an eye for detail.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in Google Suite and familiarity with internal communication tools (e.g., Slack, confluence, intranets).
  • A proactive and solutions-oriented mindset, with the ability to anticipate and address needs.
  • Experience in event planning or coordination is a plus.
