Overview of the Department/Section

GCIB incorporates the Corporate Banking Division (EBD) for EMEA and the Investment Banking Division for EMEA (EIBD). The GCIB Corporate Sponsorships & Events function is responsible for supporting the management and business units within GCIB (both Bank and Securities entity) in the delivery of their client marketing strategies in order to optimise revenues and client engagement.

Main Purpose of the Role 

Operate as a member of the EMEA events team, assisting with the planning and execution of external sponsorships, conferences and client events in order to support both the Bank and Securities teams in delivering their client engagement under the GCIB brand within the EMEA region.

Key Responsibilities

Leadership & Strategic Development

  • As a member of the GCIB EMEA events team support the annual EMEA events calendar
  • Enhance brand recognition and value through the events
  • Training and development of the Analyst in the team, sharing experience and best practices

Financial

  • Accountable for managing costs across each allocated event in order to deliver within budget
  • Establish and implement a running budget tracker, and provide a quarterly report to Head of Team on spend
  • Cross departmental and cross entity budget management and recharging
  • Timely processing of invoices and expenses

Operational Management

  • Accountable for the end to end delivery of own portfolio of complex external sponsorships, client conferences and events to a consistent high standard
  • Collaboration with GCIB teams to understand the objectives of their client engagement and providing appropriate solutions
  • Responsible for programme development, working with internal teams to assist them with structuring and developing their content, ensuring a high quality experience for attendees
  • Responsible for speaker co-ordination; including stakeholder communication, logistics, scheduling, technical requirements and on-site logistics. Acting as primary point of contact when deemed necessary, and collecting bios, presentation materials and other assets
  • Establish and build relationships with new and existing external conference organisers and maintain regular dialogue in relation to opportunities
  • Accountable for negotiation with allocated suppliers to ensure best value from partnerships, and ensuing all benefits are activated and deadlines are met
  • Accountable for onboarding new vendors and completing internal processes as required
  • Responsible for co-ordinating corporate hospitality across GCIB directly and via agencies
  • Responsible for online research and in person site visits of venues for a variety of events, including tastings and menu enhancements
  • Creation of appropriate invitations and collateral for events, meeting brand guidelines
  • Use of online event tool for outreach, registration and reporting
  • Management of Health and Safety and Risk Assessments on behalf of attendees at events

Global Collaboration

  • Build and develop relationships throughout GCIB and MUFG to establish a peer network, gather relevant information and help to ensure effective interactive inter-departmental collaboration and transparency
  • Collaboration with Corporate Communications on branding and to maximise exposure externally and internally
  • Building relationships with conference organisers and maintaining regular dialogue in relation to opportunities

Customer/Product Development

  • Responsible for managing internal and external relationships to ensure that the stakeholders see the Bank as a trusted, professional partner when it comes to the EMEA GCIB events space
  • Accountable for ensuring portfolio of events are delivered to the expected high standards and client expectations are met

Governance, Risk & Compliance

  • Adhering to GCIB’s policies/procedures in the events space
  • Ensuring that events meet any local requirements/religious or other and MUFG’s reputation is maintained.

Work Experience

Essential:

  • Experience within Financial Services
  • 5+ years’ event management experience

Skills and Experience

Functional / Technical Competencies:

Essential

  • Ability to manage multiple tasks and manage ever changing and often conflicting priorities
  • Ability to work with a high level of motivation and initiative
  • Proven experience in sponsorship management and activation
  • Proven experience in running in person and hybrid events across EMEA
  • Good knowledge of AV and production
  • Effective time management and task prioritisation
  • Good written and verbal communication skills, ability to communicate effectively at all levels;
  • Detail conscious, ensuring reliability at all times, and committed to producing high quality and professional work in a team environment;
  • Ability to deal with people of all types and personalities at all levels;
  • Good communication and interpersonal skills with a high level of motivation and initiative
  • An appetite for information and an ability to prioritise and present valuable conclusions and summaries
  • Good IT skills
  • Ability to attend evening events inside and outside of London, and the ability to travel within EMEA, together with the flexibility to provide cover at short notice if required
