About the role

As a Vetting Coordinator you will be responsible for supporting the end-to-end process for all background and national security vetting applications of our internal candidates.
Reporting into our Vetting Manager, you will co-ordinate efforts with internal stakeholders and external 3rd parties to ensure those joining Faculty are doing so with the right checks and clearances in place in order to deliver their work effectively.

What you'll be doing


Your role will evolve alongside business needs, but you can expect your key responsibilities to include:
Background Checks and Security Clearances

  • Managing the end-to-end vetting process for our internal candidates whilst understanding and adhering to strict rules and guidelines 

  • Helping candidates complete their applications and providing guidance and support along the way

  • Working with internal teams (People Operations, Talent Acquisition) and external parties (MOD, Cabinet Office, Parliament) to gather all the necessary information

  • Tracking how applications are progressing, recognise any potential issues or concerns and proactively follow up on outstanding actions. 

  • Collaborating with candidates to answer questions and handle challenges in a timely and professional manner

  • Identifying ways to continuously improve our vetting process and procedures

Registers Management

  • Processing various applications through relevant external portals, updating and maintaining employee records as needed 

  • Maintaining accurate templates and ensuring compliance with legal and company standards

Administrative Tasks:

  • Acting as the first point of contact for internal and external queries.

  • Providing clear and timely responses, escalating complex issues as needed.

  • Promoting a positive employee experience by ensuring efficient and empathetic communication.

Who We're Looking For

We understand that you might not have direct experience with all aspects of this role and that's completely okay!
We're looking for someone who’s eager to learn, adaptable and shares our company principles.
You will receive full training and support to help you succeed in the role but we’d also expect you to bring: 

  • Excellent people and communication skills and an ability to connect with people from all walks of life

  • Strong organisational skills and a keen eye for detail

  • An ability to manage your workload, prioritise what needs to get done whilst working both independently or as part of a team

  • A capacity to handle sensitive and confidential information with discretion and integrity

  • Strong proficiency with common IT systems with exposure to working in both Microsoft and Google Office Suites (Word, Excel and GMail)

  • A positive and proactive attitude with a willingness to learn and develop

  • Good problem solving skills and ability to work in a conscientious, consistent and thorough manner


If you have any of the following, even better!

  • Previous experience in an administrative role

  • A familiarity or working knowledge of BPSS, NPPV3 and NSV processes

  • Experience of working with government agencies such as MOD, Cabinet Office and Parliament
