Actionstep is a pioneer in the development and sale of software-as-a-service (SaaS) products, specializing in the delivery of Legal Practice Management software.  We are a fast growing, dynamic business with a global customer base of more the 30,000 and a team of over 240 in the USA, Australia, UK, Canada and New Zealand.    The Project Coordinator supports Actionstep’s delivery governance and professional services functions, helping to ensure smooth coordination across internal and Certified Consulting Partner (CCP)-led implementations.

This role manages smaller internal and partner-led projects independently, while providing coordination and support for larger, more complex, or multi-stakeholder engagements. Working closely with Services Team members, the Project Coordinator plays a key role in maintaining delivery visibility, enabling communication, and driving consistency in how Actionstep delivers projects across its global ecosystem.

Key Responsibilities

· Support and monitor Certified Consulting Partner (CCP)-led implementations to ensure alignment with Actionstep delivery frameworks and project standards.

· Track delivery performance across projects and partner engagements, owning reporting and performance tracking for smaller initiatives and assisting on larger ones.

· Act as a coordination point for partner and internal delivery activities, ensuring timely communication, follow-up, and visibility.

· Manage smaller internal and partner-led projects directly, ensuring delivery within agreed scope, budget, and timeline.

· Collaborate with technical and delivery teams to ensure accurate scoping, scheduling, and resource alignment for assigned projects.

· Maintain and update project documentation, templates, and records to ensure accuracy, accessibility, and version control.

· Own administrative and reporting responsibilities across the Services portfolio, including maintaining Asana boards, updating project dashboards, and preparing reports for PMO and Services leadership.

· Participate in post-project reviews, capturing and sharing lessons learned to strengthen delivery practices.

· Coordinate meetings, communications, and actions across both internal and external stakeholders to maintain project momentum.

· Build and maintain strong working relationships with partners, customers, and internal teams, fostering transparency and collaboration.

· Deliver clear, timely communication on project progress, issues, and risks.

· Undertake any other reasonable duties as required


Requirements

Essential

· 1–3+ years of experience in project coordination, administration, operations, client delivery, or another role involving organization and stakeholder communication.

· Strong organizational and communication skills, with the ability to keep projects, tasks, and people aligned.

· Demonstrated ability to manage smaller projects independently and support larger or partner-led initiatives under guidance.

· Proactive problem-solver with strong attention to detail and a hands-on approach to getting things done.

· Comfortable performing administrative and reporting tasks, including maintaining Asana boards, tracking deliverables, and managing project documentation.

· Quick learner who adapts easily to new tools, processes, and ways of working.

· Collaborative team player who builds strong relationships and communicates clearly across internal and external stakeholders.

Desirable

· Experience in SaaS, technology, legal tech, or professional services environments.

· Familiarity with project management and reporting tools such as Asana, Jira, or Smartsheet.

· Exposure to partner-led delivery or channel-based projects.

· Interest in developing toward a project management or PMO-focused career path.
