As a Travel and Executive Support Analyst within the Business Support Management team, you will play a pivotal role in managing complex administrative tasks, fostering strong relationships, and delivering exceptional travel services to high-touch executives and clients. This hybrid position requires operational excellence, strategic alignment, and a commitment to extraordinary customer service, including after-hours support. You will efficiently manage executive calendars, meetings, travel logistics, expenses, and events, while also acting as a travel expert for both domestic and international arrangements. Your attention to detail, analytical thinking, and ability to resolve issues promptly will ensure seamless support for Managing Directors (MDs) and Executive Directors (EDs).

Job Responsibilities
- Provide comprehensive administrative support to Managing Directors (MDs) and Executive Directors (EDs), acting as primary or backup support.
- Efficiently manage and coordinate active calendars, meetings, and communications with professionalism and confidentiality.
- Organize and coordinate internal and external events, including meetings and conferences.
- Prepare high-quality reports, presentations, and internal communications using Microsoft Office Suite.
- Arrange and manage intricate domestic and international travel logistics for executives and clients, ensuring alignment with preferences and company standards.
- Coordinate and fulfill travel bookings, leveraging online travel tools to optimize the travel process.
- Address and resolve complex travel-related issues promptly, maintaining strong relationships with clients and vendors.
- Process invoices and expense claims, ensuring compliance with firm guidelines.
- Assist with projects and initiatives to support operational efficiency and strategic goals.
- Serve as a Subject Matter Expert (SME) in Travel & Expense, mentor new hires, and facilitate admin training programs.
- Provide after-hours support and demonstrate flexibility to work night shifts and adapt to changing business needs.
Required Qualifications, Capabilities, and Skills
- Minimum of 5 years in a senior administrative or executive assistant role, with proven experience in travel coordination.
- Excellent written and verbal communication skills; strong proficiency in Microsoft Office Suite and online travel tools.
- Exceptional organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Strong team orientation and ability to build relationships with internal and external stakeholders, clients, and vendors.
- Proactively anticipates needs and provides valuable insights, adapting to changing priorities.
- Demonstrated discretion and good judgment in handling confidential information.
- Proven ability to resolve travel-related issues quickly and efficiently, maintaining professional relationships.
- Analytical thinker with the ability to break down complex requirements into manageable tasks.
- Willingness to work night shifts, after-hours, and onsite five days a week.
- Highly comfortable with learning and adapting to new technologies and productivity tools.
- Experience in a client-facing role in a multinational firm.
