Position: Tendering Specialist (Hybrid/remote)

Location: Warsaw

The Opportunity

We are currently seeking an experienced Tendering Specialist to join our team and support a variety of software opportunities within our asset management portfolio. The role is based in one of ESS’s European offices, with a preference for a hybrid remote/office working arrangement. However, for the right candidate, remote work from a location within a compatible time zone may be considered.

Your Role

As a Tendering Specialist, reporting to the Tendering Manager – Europe, you will be a vital part of our dynamic and enthusiastic team. You will collaborate closely with Sales Account Managers and other key stakeholders to support the entire tendering process, from receipt to the delivery of high-quality, compliant, and commercially sound bids.

How you’ll make an impact:

  • Evaluate Tender Documentation: Quickly and accurately identify key requirements, deliverables, deadlines, and actions. Provide feedback on bid requirements and potential risks (legal, commercial, etc.) to stakeholders.
  • Stakeholder Coordination: Ensure all key stakeholders have access to bid documents. Organize and run calls (e.g., tender kick-off and status calls) with different stakeholders, including senior management.
  • Bid Management: Coordinate, collate, check, and edit bid input from various stakeholders. Ensure all necessary product, services, and pricing information is included in the final offer, adhering to established processes and branding guidelines.
  • Risk Monitoring: Use established risk management tools to monitor and mitigate risks throughout the bid process.
  • Support Complex Bids: Assist the Tendering Manager and team in handling complex bids and maintaining our tender content-management system.

Your background:

  • Experienced: Minimum of two years in a similar role, ideally involving software-related tenders. Additional experience in project management or contract administration is a strong advantage.
  • Remote Work Proficiency: Demonstrated ability to work effectively in a remote environment, including managing and collaborating with virtual teams across multiple locations.
  • Bilingual Communication: Exceptional written and verbal communication skills in English are essential. Proficiency in one or more additional major European languages is a significant asset.
  • Strong Communicator: Confident in influencing and constructively challenging bid team members and senior stakeholders. Skilled in negotiation and collaboration with geographically dispersed teams.
  • Technology-Proficient: Highly proficient in Microsoft Office tools (Word, Excel, PowerPoint, OneNote, SharePoint, Teams). Familiarity with AI-powered productivity tools is a plus.
  • Organized and Detail-Oriented: Excellent organizational, coordination, and process management skills. Able to manage multiple priorities simultaneously while maintaining a strong focus on accuracy and deadlines.
  • Professional Under Pressure: Maintains composure and professionalism in high-pressure situations. Brings a mature, team-oriented mindset to virtual collaboration.
  • Flexible and Globally Aware: Understands the global nature of our business and is available for communication across different time zones as needed.
