Job Description

The Role

We’re looking for a highly organised, proactive Team Assistant to support the Partner Brands and Flexible Fulfils Director and wider senior leadership team. You’ll be central to keeping the team running smoothly — from managing diaries and meetings to coordinating brand sessions, travel, and day-to-day operations.

This is a hands-on role where you’ll build strong relationships, stay two steps ahead, and help create the headspace our leaders need to focus on strategy, brands and delivery. The Partner Brands and Flexible Fulfils function holds 43% of the business with a team of 220 people.

What You’ll Be Doing

Director & Leadership Support

  • Manage the Partner Brands Director’s diary, meeting schedule, ensuring priorities are clear and time is well-managed.
  • Prepare meeting agendas, briefs, decks, and follow-up notes.
  • Arrange meeting rooms, catering and visitor passes, greeting guest on arrival
  • Handle confidential information with discretion and professionalism.

Team Coordination

  • Be the go-to point of contact for the Partner Brands SLT, supporting with meeting organisation, routines, and general coordination.
  • Support team events including workshops, all-hands, training sessions, and offsites arranging logistics and catering
  • Keep shared drives, trackers, and team documents up to date and easy to navigate.

Brand & Partner Support

  • Help prepare for brand partner meetings — organising agendas, decks, samples, room setups, catering and logistics and make sure front of house are briefed
  • Work closely with internal teams to make sure sessions are smooth, well-prepped and productive.

Travel & Logistics

· Book travel, accommodation, and itineraries for the Director and team.

· Pull together travel packs, briefing info and meeting schedules.

· Process expenses in line with policy.

· Look after travel budget tracker

Admin & Operations

· Raise purchase orders, track invoices and support with basic budget admin.

· Support onboarding processes for new team members.

· Coordinate across PX, Finance, IT, Travel and Facilities to keep the team running well.

Communications & Stakeholder Relationships

· Draft clear, professional communications where needed.

· Build relationships across the business, representing the Partner Brands team with a friendly, can-do attitude.

· Ensure all stakeholders have what they need, when they need it.

Office presence requirement:
We believe being together in person helps us move faster, connect more deeply and achieve more as a team. That’s why our approach includes spending at least 3 days a week in the office.

Qualifications

About You

  • Experience as a Team Assistant, PA or similar role in a fast‑paced environment.
  • Exceptional organisational skills with the ability to manage multiple priorities.
  • Calm, solutions‑first mindset, even when things get busy.
  • Clear, confident and professional communication skills.
  • Strong Microsoft Office skills (Outlook, Excel, PowerPoint, Teams).
  • Proactive, curious and always looking for ways to improve how we work.
  • Highly reliable, discreet and comfortable handling sensitive information.
  • Someone who brings positive energy and acts as the “glue” that keeps a team working at its best.
  • Adaptable and comfortable switching between big tasks and detailed admin.
