Job Summary / Team:  

This position offers comprehensive administrative support to the Systematic team. It would suit an experienced administrator with a keen eye for detail and a hands-on, proactive approach. The team comprises three members in London with a fourth currently being recruited in Boston.


Responsibilities: 

  • Departmental administration: Ensuring the smooth running of the department on a daily basis, including monitoring the Systematic Admin and Meeting Request mailboxes and dealing with ad hoc requests, ordering supplies, processing invoices and expenses and creating PO’s in Workday, assisting with office moves and seating plan. Keeping accurate records of internal and external meetings 
  • Clients: Arranging client meetings, organising schedules, creating agendas, organising rooms and refreshments 
  • Meeting Co-ordination: Assist in scheduling internal and external meetings and interviews, meeting rooms, catering and AV calls when needed, collating committee meeting packs
  • Travel: Arrange travel for team members including air, rail, car service, hotel and conference registrations, preparing detailed travel agendas, organising visas
  • Administrative back-up: On-site support for events, coverage during holidays and times of absence to ensure uninterrupted flow of operations 

Key Skills & Experience: 

  • Proficient in Microsoft Office: Outlook, Word, Excel, PowerPoint 
  • Ability to multi-task and adapt to shifting priorities 
  • Attention to detail, speed, accuracy and ability to pick things up quickly  
  • Enthusiastic and robust team player – willing to be flexible to the requirements of the team 
  • Excellent English and communication skills  
  • Assertive, reliable, resourceful
