In this role you will have a number of key responsibilities:

Customer Focus

  • Act as a key point of contact for candidates, hiring managers and interviewer panels, ensuring a professional, responsive and inclusive experience at every stage
  • Coordinate interviews efficiently across regions and time zones (where applicable), removing friction for hiring managers
  • Provide clear timelines and consistent communication to all stakeholders
  • Anticipate needs and proactively address potential delays or scheduling conflicts

What this means: Candidates and hiring managers experience a structured, reliable and positive hiring journey.

Accountability

  • Take ownership of interview scheduling and recruitment administration end-to-end
  • Work with TA Partners to ensure requisitions are fully approved and compliant before progressing
  • Support external vendors with compliance, purchase orders, invoicing procedures and other ongoing tasks
  • Maintain accurate and up-to-date records in recruitment systems (Oracle)
  • Identify risks early and escalate appropriately

What this means: Nothing is left unmanaged. Tasks are driven to closure with full visibility and control.

Agility

  • Manage competing priorities in a fast-paced and international, matrixed environment
  • Adapt quickly to changes in hiring timelines or business requirements
  • Resolve scheduling conflicts efficiently and pragmatically
  • Support additional recruitment activity across regions when business needs to shift

Teamwork

  • Partner closely with TA Business Partners, HRBPs, People Services and hiring managers, amongst others
  • Support cross-functional collaboration to ensure smooth handoffs
  • Share updates proactively and ensure clear alignment on next steps
  • Contribute to continuous improvement of recruitment processes

What this means: Recruitment is delivered as a coordinated team effort, not in silos.

Excellence

  • Execute interview coordination with high attention to detail, speed and accuracy
  • Maintain compliance with recruitment policies and DE&I standards
  • Support sourcing activity and pipeline development if and where required (dependent on experience and ambition)
  • Deliver consistently high standards of documentation and operational discipline

What this means: Recruitment operations are reliable, audit-ready and reflective of best practice.

Skills & Experience

  • 1–3 years’ experience in recruitment coordination, HR operations or similar
  • Experience using ATS or HR systems (Oracle would be highly beneficial)
  • Strong organisational and prioritisation capability
  • High attention to detail and accuracy.      Operates with urgency
  • Ability to manage multiple stakeholders effectively
  • Clear and professional communication skills
  • Fluent English and French or great experience with AI translations
