About the Role:

We’re looking for a highly organised and detail-obsessed Senior Talent Acquisition Coordinator to join our growing team in London. You’ll be the operational backbone of our interview process—ensuring every candidate enjoys a smooth, professional, and thoughtful experience from first touch to final stage. You will also play a key role in scaling our in-person interview capabilities by setting up and operationalising new interview hubs, working hands-on with internal and external stakeholders to deliver a seamless candidate experience.
As part of our global Talent Acquisition team, you’ll work closely with recruiters, hiring managers, and interviewers to coordinate logistics and drive excellence at every step. If you thrive in fast-paced environments, love solving scheduling puzzles, and take pride in creating seamless candidate journeys, this role is for you.
Please note: This role requires you to be in our London office whenever we host onsite interviews to ensure an exceptional in-person candidate experience.

This is the role for you, if you’re excited to work on the things listed below:
  • Manage end-to-end interview scheduling across global time zones using Google Calendar and Greenhouse
  • Serve as the primary point of contact for candidates, delivering a top-tier experience
  • Collaborate with recruiters and hiring teams to ensure candidates move efficiently through the pipeline
  • Adapt and manage scheduling changes with speed and grace
  • Maintain accurate candidate records in Greenhouse
  • Support onboarding coordination and post-offer follow-ups
  • Identify and drive improvements in recruiting workflows and coordination processes
  • Provide onsite support for in-person interviews at the London office
The skills you will need to be successful in the above:
  • 3+ years experience as an Interview or Recruitment Coordinator, ideally within a tech environment
  • Strong familiarity with Greenhouse (ATS), Slack, and Google Workspace
  • Excellent verbal and written communication skills
  • Exceptionally detail-oriented and highly organized
  • Comfortable in a dynamic, fast-paced environment where priorities shift quickly
  • Self-starter who enjoys working independently and collaboratively
  • Passionate about delivering thoughtful and efficient candidate experiences
  • Available to be onsite in the London office for any in-person interviews
The interview process:
  • An introductory call with someone from our talent acquisition team. They want to hear more about your background, what you are looking for, and why you’d like to join Goodnotes
  • Take home assignment 
  • A call with Talent Acquisition team members to discuss your background more in detail
  • Panel Interview with a couple of Talent team members.
  • A call with the Hiring Manager.
