The Supply Chain Coordinator supports the effective day-to-day operation of the group’s supply chain across core fulfilment, contract packing operations, custom packaging, manufacturing, logistics, and packaging.

The role is responsible for coordinating operational workflows, managing supply chain administration, supporting packaging procurement and Vendor Managed Inventory (VMI) processes, assisting with logistics bookings, and ensuring accurate order, production, and invoice processing. The position works closely with internal teams, customers, suppliers, and logistics partners to ensure timely, accurate, and efficient execution of supply chain activities across the group.

Key Responsibilities

  • Support day-to-day supply chain operations across all group business units, including core fulfilment operations, contract packing operations, custom packaging, manufacturing, logistics, and packaging, ensuring orders, materials, and services flow efficiently across the group.
  • Coordinate contract packing operations by working closely with customers and internal planning teams to schedule jobs in line with capacity, timelines, and material availability, ensuring smooth execution from order confirmation through to completion. This includes raising, processing, and progressing production orders, managing job administration, and coordinating associated invoicing.
  • Act as the central point of coordination and customer contact for contract packing jobs, providing regular updates on order and job status, progress, and completion, responding to customer queries, and proactively managing issues, changes, or delays as they arise.
  • Manage the end-to-end administrative processing of contract packing and wider supply chain activities, including order entry and progressing, maintaining job and order documentation, supporting job costing, processing purchase orders, and generating, processing, and reconciling customer and supplier invoices to ensure accuracy against agreed specifications and pricing.
  • Monitor group-wide raw material requirements, including packaging and manufacturing inputs, and manage the replenishment process. This includes raising, tracking, and progressing purchase orders to ensure correct stock quantities are maintained in line with production plans, contract packing activities, and demand requirements, as well as coordinating deliveries to support manufacturing and distribution operations.
  • Support Vendor Managed Inventory (VMI) processes for packaging by monitoring usage across the group, coordinating replenishment with suppliers, maintaining accurate stock, order, and usage records, and supporting supplier performance, reconciliation, and invoicing activities.
  • Support custom packaging projects by acting as an intermediary during the discovery and early development stages, coordinating communication between customers, internal stakeholders, and production partners, and assisting the Head of Supply Chain with supplier engagement, pricing support, and the transition from concept to production.
  • Support logistics operations by arranging and booking transport for inbound and outbound shipments, preparing and issuing relevant shipping documentation, tracking and progressing deliveries, and proactively following up on delays, discrepancies, or service issues with logistics partners.
  • Liaise closely with customers, suppliers, transport providers and internal teams to ensure orders, materials, packaging, and services are delivered in line with operational requirements, service levels, and agreed timelines.
  • Maintain accurate and up-to-date supply chain, order, and financial data across systems, supporting reporting, audits, invoicing, financial reconciliation, and operational visibility across the group.
  • Provide general supply chain, customer service, and operational administration support to the Head of Supply Chain, contributing to continuous improvement initiatives and identifying opportunities to improve efficiency, accuracy, service levels, and customer experience across the group.

Requirements
  • Previous experience in a supply chain, logistics, operations, procurement, or administrative role
  • Experience with order processing and order progressing, including customer-facing communication
  • Experience raising and processing purchase orders, production orders, and invoices
  • Experience working with suppliers, internal teams, and third-party service providers
  • Experience in manufacturing, contract packing, packaging, or distribution environments
  • Exposure to raw material and packaging replenishment processes
  • Experience coordinating logistics or transport bookings

Essential Skills & Competencies

  • Highly organised with strong attention to detail, able to manage multiple tasks, orders, and priorities simultaneously in a fast-paced operational environment.
  • Experience working with supply chain and operational systems, such as ERP and/or WMS platforms, to support order processing, stock management, purchase orders, production administration, and dispatch activities.
  • Comfortable working with stock and demand data, including reviewing and updating information across systems and spreadsheets to support replenishment, production planning, and operational decision-making.
  • Strong working knowledge of Microsoft Office, particularly Excel, with the ability to use spreadsheets for tracking, reconciliation, reporting, and basic data analysis.
  • Able to work independently within defined processes, taking ownership of day-to-day responsibilities while knowing when to escalate risks, issues, or constraints appropriately.
  • Practical problem-solving mindset, with the ability to identify operational issues, understand root causes, and support corrective actions and continuous improvement initiatives.
  • Confident communicator, able to coordinate effectively across multiple teams and stakeholders, including customers, suppliers, logistics partners, and internal operations teams.
  • Capable of supporting multiple workstreams simultaneously, prioritising workload effectively to meet deadlines and service level expectations.
  • Proactive, hands-on approach with a willingness to learn new systems, tools, and supply chain processes as the business evolves.
