About the Opportunity
The role involves managing and processing customer orders, ensuring accurate distribution to customers, growers, and packhouses. Key tasks include planning orders, liaising with internal teams, handling post-delivery issues, managing grower estimates, and updating haulage details. The position also involves maintaining customer order data, processing samples, performing system checks, and organising paperwork.
Responsibilities
- Import, check, and distribute all Customer orders received through True Commerce and various other forms.
- Collation and management of both grower 3-day estimates and central pack house stock sheets.
- Plan a wide range of customer orders efficiently and accurately throughout the day using daily and weekly plans, distance to depot, pallet fill and Grower/Haulier restrictions to ensure customer service levels and expectations are achieved.
- Liaise with Account Managers, Planners and MRP teams for the allocation of daily customer orders.
- Discuss and confirm any required changes to Day 1 supply.
- Process customer orders through our internal systems and communicate orders to packhouses and growers.
- Distribute complete and final orders to Customers, Growers and Packhouses.
- Maintain and update relevant customer order requirements using various customer specific portals, websites and forms to support right first-time processing of orders.
- Plan, Book and Distribute all haulage details from all Grower sites and update with any amendments using various haulier and customer portals and internal forms using our systems.
- Monitoring and checking post-delivery orders and resolve any overs/shorts and claim issues arising from completed customer orders.
- Obtain any relevant paperwork that can be used in the support of any claim.
- Ensure samples are processed and entered onto internal systems.
- Monitor daily system checks to ensure they have run and completed as expected, ensuring the following day runs smoothly.
- Ensure all paperwork is properly organised and saved.
- Liaise with and build relationships across all areas of the business, including Berry Gardens Growers, customers, hauliers, suppliers, and other external parties.
- Department Champion role – The testing of any upgrades to the system.
- Undertake other ad hoc duties as required.
Candidate Profile
- The shift pattern for this role involves working alternate weekends, with every Tuesday off. Shifts are on a rota basis, either from 6:30 to 15:30 or 08:00 to 17:00. Additionally, there is an on-call requirement on a rota basis, with an expected 40-50 evenings per year.
- Previous experience in administration and sales office roles is essential; industry experience is advantageous.
- A positive, approachable, and friendly personality.
- Strong numerical and logical thinking skills, with a methodical approach to problem-solving.
- High attention to detail and ability to work systematically.
- Proficient in Microsoft Office applications; experience with Prophet software is a plus.
- Self-motivated with the ability to work independently as well as collaboratively within a team.
- Capable of working under pressure, meeting deadlines, and effectively managing time and priorities.
- Quick decision-making abilities, particularly when under pressure.
- Excellent time management skills to optimise productivity.
- Flexible and willing to work unsocial hours, including weekends, bank holidays, and be available on-call as part of a rota.
