About the Role

The Senior Payroll Specialist plays a critical role in the Finance department, ensuring accurate and compliant payroll processing for employees across Canada, the US, the Netherlands, and Germany. This individual is responsible for managing biweekly and monthly payroll cycles, reconciling accounts, and performing year-end procedures while maintaining strict adherence to company policies and statutory regulations. As a primary point of contact for payroll and benefit inquiries, the Senior Payroll Specialist provides exceptional service to employees and managers alike, fosters cross-departmental collaboration, and stays current on evolving tax laws to ensure the highest standards of payroll operations.

What You'll Do

  • Ensure accurate and timely biweekly/monthly payroll processing in Canada, US, Netherlands, and Germany 
  • Ensure all changes made within the payroll system are in accordance with company policies and statutory requirements. Collaborate with the HR department and other departments to ensure pay and personnel records are accurate and up to date.
  • Reconcile payroll accounts and propose corrections when necessary.
  • Prepare ROE's and other payroll records as required, in a timely manner. 
  • Perform year-end procedures including year-end reconciliations for issuance of T4s and W2s. 
  • Respond to CRA and other statutory agency inquiries in a timely manner. Research payroll tax payments and data discrepancies with federal, state, and local agencies, and work with tax agencies as well as internal staff for resolution.
  • Respond to employee inquiries related to payroll or benefits.  
  • Provide support for external audits.
  • Ensure proper internal controls, system standards & documentation, policies and audit requirements are developed, met, and maintained.
  • Stay up-to-date on payroll and tax laws and regulations including Federal and State laws (US and Canada), wage and hour and employee benefit laws.
  • Contribute to the adoption and responsible use of AI, automation, and emerging technologies to optimize Payroll workflows, improve operational efficiency, and support data-informed decision-making while maintaining compliance and data integrity.
  • Support a culture of continuous improvement and innovation within the Payroll function.
  • Maintain the highest level of confidential customer service to all associates and managers. 
  • Other duties as may be assigned.

What You'll Bring

  • 3 - 5 years of experience supporting Canada and US Payroll and exposure to international payroll with some experience participating in Payroll/HRIS implementations.
  • Proficient with Ceridian Dayforce payroll system. 
  • Knowledge of employment standards and working towards PCP or have equivalent payroll experience.
  • Experience with Excel, G Suite, and Bamboo HR.
  • High attention to detail and accuracy.
  • Excellent communication skills, including written and verbal. Proven ability to build and maintain strong relationships at all levels of the organization.
  • Demonstrated problem-solving ability and strongly motivated to find solutions.

You'll Stand Out If You Have

Prior experience/ knowledge of Rippling Payroll system would be desirable.

Compensation

At FreshBooks, we approach each individual's compensation with a promise of fair market value and internal equity commensurate with experience and specific skill set.

The total compensation for this role ranges from CA$78,000 - CA$95,000 per year, which may include participation in our incentive programs. Additionally, this position offers an equity grant and immediate enrollment in FreshBooks' comprehensive benefits program, detailed below.
