We are seeking a highly motivated (Senior) Finance Systems Specialist to join our team. In this role, you will play a crucial part in evolving our finance and subscriptions systems, ensuring they are secure, scalable and efficient. As part of the Systems team, you will help optimize financial processes, enhance system integrations, and drive automation. Your contributions will empower Personio's growth by providing reliable tools and acting as a proactive trusted advisor across the organization.
Role Responsibilities: What you'll do

• Systems Ownership & Administration: Manage and oversee the administration of subscription management and finance systems, ensuring their integrity, security, and optimal performance. Continuously evaluate new system releases and feature updates, testing and assessing their relevance to business needs. Collaborate with stakeholders to determine the potential impact of new functionalities and lead their implementation.
• Strategic System & Process Advisory: Provide expert guidance on system configurations, workflows, and data structures to support various subscription models and finance processes. Ensure Personio's system landscape aligns to SaaS best practices. Act as a trusted advisor to finance and business stakeholders on system capabilities and improvements.
• Process Optimization & Automation: Drive continuous process improvements by identifying inefficiencies, implementing automation, and optimizing workflows. Focus on scalability and operational excellence in key finance and subscription processes, ensuring streamlined operations as the company grows.
• Cross-System Integrations & Data Integrity: Define, maintain, and enhance integrations between Personio's CRM, ERP, subscription management, and financial reporting tools. Ensure seamless data flow, accuracy, and consistency across systems to support reporting, compliance, and business intelligence needs.
• Project Leadership and Business Initiatives: Lead and participate in cross-functional initiatives, such as new product launches, financial process enhancements (e.g. new ERP modules, new localization packages or similar), and regulatory compliance projects (e.g., multi-GAAP reporting, revenue recognition). Collaborate with finance, IT, and operations teams to align system capabilities with evolving business needs.
• Compliance & Audit Support: Ensure that all financial and subscription processes are compliant with tax, accounting and statutory regulations. Support internal and external audits, period closes, and financial reporting requirements.
• User Support, Training & Documentation: Provide frontline user support by resolving system-related issues and queries. Develop training materials, conduct workshops, and maintain up-to-date documentation to ensure system adoption, efficiency, and best practice usage across teams.

Role Requirements: What you need to succeed

• Extensive Systems Experience: 4+ years managing ERP systems (preferably Workday Financials) and subscription management systems (preferably Chargebee).
• Strong Business Acumen: Deep understanding of SaaS business models and best practices in Lead-to-Cash, Procure-to-Pay, and other core business processes.
• Finance Expertise: Knowledge of accounting, financial analysis, reporting, and compliance, with the ability to support IFRS and GAAP reporting.
• Analytical & Process-Oriented Mindset: Strong problem-solving skills, with a focus on system optimization, data integrity, and scalable process improvements.
• Collaboration & Stakeholder Engagement: Proven ability to work cross-functionally with finance, IT, and business teams to drive alignment and efficiencies.
• Strategic Prioritization & Adaptability: Ability to navigate complexity, prioritize effectively, and thrive in a dynamic, fast-paced environment.
• Language Skills: Proficiency in English is required; German or other European languages are a plus.
