We are seeking a Senior Executive Assistant to support our Commercial Leadership team and oversee daily operations at our London office.

The ideal candidate will bring strong organizational and planning skills, attention to detail, a high sense of urgency, a sense of humor, and strong problem-solving abilities to the role. They should be personable, energetic, inquisitive, detail-oriented, and calm under pressure.

Wayfair’s team of Executive Assistants plays a crucial role in supporting executives by managing scheduling, travel arrangements, and ensuring seamless day-to-day operations. This position offers a unique opportunity for an experienced executive assistant looking to take the next step in their career.

This is a full-time role based on-site in our London office.


Key Responsibilities:

  • Executive Support: Provide high-level administrative support to the Managing Director of Wayfair UK & Ireland
  • Calendar Management: Proactively manage complex calendars, scheduling and prioritizing meetings, resolving conflicts, collaborating with team members, and staying several steps ahead to ensure efficiency
  • Meeting Coordination: Schedule and coordinate numerous weekly and ad hoc meetings, ensuring all details are communicated effectively with all participants
  • Travel Arrangements: Handle all aspects of international and domestic travel, including frequent revisions as needed
  • Expense Management: Process and manage business expenses for executives promptly and accurately after each trip
  • Communication Management: Draft and manage communications on behalf of the executive
  • Event Logistics: Coordinate logistics for on-site and off-site meetings and events, including large office gatherings, All-Company meetings, and employee holiday parties.
  • Professional Representation: Serve as a key point of contact for external stakeholders, creating a positive and professional impression of the team
  • Project Support: Take on various ad hoc projects as needed, with a proactive and adaptable mindset
  • Multitasking & Prioritization: Thrive in a fast-paced environment by effectively managing multiple priorities and tasks simultaneously
  • Office Operations: Oversee the office receptionist and collaborate on office-related projects and operations


Qualifications

  • 3-4 years of experience as an Executive Assistant or in a similar role
  • Strong communication skills with the ability to be assertive, provide constructive pushback, and challenge the status quo when necessary
  • Meticulous attention to detail with strong planning and forward-thinking capabilities
  • Proactive problem-solver with the ability to anticipate needs before they arise
  • Advanced proficiency in Google Workspace (Google Calendar, Gmail, Drive, Docs, Sheets, Slides, and Meet)
  • Excellent written, verbal, and presentation skills
  • High level of discretion when handling confidential information
  • Flexibility to handle ad hoc issues that may arise outside of core business hours
