Role Overview:
The Coordinator, Multimedia Experience Design (MXD) supports the Multimedia and Design team's execution of high-impact internal meetings and enterprise events at New York Life. This position plays a key role in the organization and coordination of multimedia production and associated live event logistics, ensuring creative and technical deliverables are on time, properly formatted, and well-communicated across teams.
You'll work closely with the Head of MXD, assisting with scheduling, vendor communication, asset tracking, and on-site support. This is a great opportunity for someone detail-oriented, team-focused, and looking to build a career in event production or creative operations.
What You'll Do:
Production Logistics & Administration
  • Track and update production schedules, calendars, and status reports.
  • Organize production assets, ensuring version control and accessibility.
  • Assist with scheduling internal reviews, meetings, and rehearsals across teams.
  • Schedule and manage onsite makeup appointments for stage speakers

Vendor & Team Coordination
  • Support the onboarding and scheduling of freelance editors, designers, and technical partners.
  • Coordinate with vendors on production and delivery of material assets.
  • Help manage documentation for vendors (SOWs, invoices, timelines).
  • Liaise with internal stakeholders and external partners to keep tasks moving forward.

Event Support
  • Provide on-site support at major events (Council, Partners, and other internal meetings), including backstage prep, scripts, and run-of-show documents.
  • Assist with setup, rehearsals, and live show execution under guidance from senior team members.
  • Help coordinate logistics for travel, equipment shipments, and production supplies.

Documentation & Communication
  • Take meeting notes and share clear action items and follow-ups.
  • Maintain and update production documentation (e.g., cue sheets, contact lists, wrap reports).
  • Support asset approvals and file delivery across creative and communications teams.

What You'll Bring:
  • 3-5 years of experience in production coordination, creative operations, or live event support.
  • Excellent organizational skills and a strong attention to detail.
  • Clear communication skills, both written and verbal.
  • Proficiency in Microsoft365 and familiarity with project management tools.
  • Comfortable working in high-pressure, fast-paced environments.
  • Willingness and ability to travel to support live event execution.

Preferred Experience
  • Exposure to video/multimedia workflows or live production environments.
  • Familiarity with cue sheets, run-of-show, or event production documents.
  • Basic understanding of AV setups or backstage operations.

Pay Transparency
Salary Range: $81,000-$110,000
Overtime eligible: Exempt
Discretionary bonus eligible: Yes
Sales bonus eligible: No
Actual base salary will be determined based on several factors but not limited to individual's experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus. In addition to base salary, employees may also be eligible to participate in an incentive program.
