Salary: £26,000 per annum, plus company benefits

Address: 30 Gresham Street, London EC2V 7PG

Contract: Permanent, full time

Hours: 37.5 hours per week

Shifts: Monday - Friday 08:00-16:00

Break: 30-minute lunch, unpaid

Work model: Fully onsite

Williams Lea seeks a Reprographics Operator to join our team!

Purpose of role 

The role of a Reprographics Operator involves producing high-quality documents based on client specifications using advanced reprographic and finishing equipment. Key responsibilities include maintaining and calibrating printers, scanning documents, booking couriers, and ensuring that all tasks are completed on time and to a high standard.

The Reprographics Operator also plays a key role in supporting colleagues, developing strong client relationships, and ensuring service levels are met. A strong focus on attention to detail, problem-solving, and a client-focused approach is essential, as is adherence to health and safety and company policies. The role requires both independence and teamwork, along with the ability to maintain a professional image and adapt to a fast-paced environment.

  

Key responsibilities 

  • To produce high quality documents to client specifications using high speed reprographic and finishing equipment
  • Monitoring/replenishing consumables for printers, calibrating machines
  • Reporting issues as per procedure and escalating issues to Team leader
  • Scanning of hard copy mail/files into PDF format using high speed scanners
  • Booking outbound couriers when required after the service desk has closed
  • Ensuring work is competed in a timely fashion and of the highest quality
  • Full understanding of workflow processes and procedures
  • Support colleagues and work as a team in order to achieve the best results for clients
  • Provide ad hoc mail services team support when required Mon-Fri 08:00-17:00
  • Undertake additional duties as requested by management.
  • Take responsibility for meeting targets
  • Attention to detail is paramount
  • Develop positive and professional relationships with customers.
  • Create and maintain highest levels of customer confidence by providing a flexible and responsive service, exceeding expectations where possible.
  • Develop an understanding of the customer’s business and ensure that Williams Lea delivers a service in line with their objectives
  • Advising where appropriate on the best method of product and cost saving
  • Develop positive and professional relationships with our clients.
  • Create and maintain highest levels of client confidence by providing a flexible and responsive service, exceeding expectations where possible.
  • Take ownership for problems and ensure customer feedback and complaints are dealt with efficiently, with support from senior management.
  • Advising where appropriate on the best method of production
  • To ensure all possible deadlines are achieved and managed in accordance with our client’s service level agreement (SLA)
  • Ensure that wastage is kept to a minimum. Highlighting to the Team Leader any arising issues that may have influence on production quality, including copy quality and procedural developments To ensure the Reprographics area is kept clean and tidy at all times.
  • Ensure that Health and Safety policy is adhered to at all times
  • Ensure UBS IT policies and adhered to at all times
  • Appropriate usage of Internet and email
  • Escalate and manage IT issues should they occur

Personal attributes

  • Reprographics experience required
  • Willing to learn or have previous experience within reprographics customer facing environment
  • Competent with Microsoft Office tools; Excel, Word, PowerPoint, Outlook emails and Teams
  • Excellent attention to detail skills is a must
  • Knowledgeable about routine maintenance and upkeep of equipment preferable
  • Client focused approach to provide our high standard of service required
  • Ability to work alone or collaboratively daily as part of a wider team
  • Able to keep calm under pressure
  • Excellent communication skills with confidence to deal with clients at all levels
  • Able to make logical decisions, considering all relevant information and alternative solutions
  • Must take ownership for tasks and problems and personal development
  • Must be able to always show a professional and presentable image
  • To be Self-motivated, enthusiastic, with a friendly and open manner
