Office Services Operator

Salary: £27,150 per annum, plus company benefits

Location: London, EC2N 4BQ

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, shifts between 8am and 8pm, 7.5 hours each, plus 1 hour unpaid break

Work model: Fully onsite

Purpose of role 

The Records Assistant is responsible for providing a professional office services, floor ambassador, print and mail room service to all the client’s employees and contractors.

You will assist the client to meet deadlines and produce a high standard of work, put the customer/client first and foremost demonstrating excellent customer service skills. To help run an efficient service and to meet all contractual Service Level Agreements

  

Key responsibilities 

  • Scan, print and copy documents for the client making sure work is quality checked and sent back correctly
  • Deal with incoming post. Sort and scan everything and e-mail to the relevant departments
  • Deal with outgoing post via Royal Mail/DX
  • Book couriers and deal with incoming couriers quickly and efficiently
  • Resetting of internal meeting rooms, collaboration, print areas, VC rooms and touchdown workstations and to report any issues appropriately
  • Update relevant notice boards, electronic or otherwise (internal tv screens and Smart Spaces app).
  • Ambassador style of service, to build relationships and gain awareness of activities within the business that may require additional or expected service.
  • Support colleagues and work as a team in order to achieve the best results for clients.
  • Maintain full responsibility and visibility as the main point of contact on designated floors, overseeing daily operational services to support business operation
  • Provide assistance and support to ensure the working environment is clean and tidy, liaising with FM and cleaning team appropriately
  • Carry out regular checks of the printer areas in area of responsibility, making sure adequate paper and toner are in MFDs, providing top-ups/replacements, when appropriate
  • Manage stationery stock levels, storage, distribution and replenish stock supplies efficiently
  • Keep an accurate record of allocated storage capacity and usage on the floor
  • Maintain an accurate record of issued lockers in the locker system
  • Assist with booking hot desks, helping with guidance and support on how to use the system and resolving any issues
  • Comply with departmental procedures
  • Any other like services requested by the Client that can reasonably be assumed as part of the normal operations subject to availability of WL personnel

Personal attributes

  • Previous Reprographics/Printroom experience is essential
  • Good PC skills with knowledge of Adobe Acrobat, Microsoft Word and Excel
  • Post room experience would be preferable but not essential
  • Excellent customer service skills
  • Able to think outside the box and make decisions if required in the absence of the
  • Senior Account Manager
  • Able to handle difficult situations well, to act appropriately and know when to escalate
  • to the line manager
  • Display a ‘can-do’ attitude with an adaptable and flexible approach
  • Personable and will help out wherever required to get the job done
  • Team player – not only within their team but also to work with the client’s FM team
