Statement of Work (SOW) for Contractor Position: Creative Workflow Optimization and SystematizationPosition Overview

This contractor role is focused on optimizing and systematizing the current creative content workflow for the creative team, which includes creative production, editing, and iteration processes. The contractor will leverage Miro to design and document workflows while working cross-functionally with various departments such as Paid Media, Creative Design, Email/SMS, and CRO to enhance collaboration and efficiency. The role also involves familiarizing with current processes, identifying gaps, and implementing improvements using AI-driven creative strategy tools.

A critical component of this role is to act as a researcher and thought-partner for the team. This includes understanding and identifying gaps and opportunities within the creative workflows and systems, while building strong relationships with current and new growth partners and investment partners. The contractor will work closely with both internal and external stakeholders to ensure alignment and identify opportunities for process improvements, creative strategy, and software development.

As part of your mission, over the next 30 days, you will be responsible for designing, building, and managing your own creative content workflow and creative production team. This will involve identifying current inefficiencies, designing optimized processes, and guiding the team to execute on this vision. The role will also be an integral part of WKND Digital’s transition towards software-based operations and AI-enhanced workflows.

Where We Are Going

  1. Transition to Software-Based Operations: WKND Digital is transitioning from traditional in-house production to a more technology-driven, software-focused model. This shift is aimed at streamlining creative processes, enhancing scalability, and reducing reliance on manual production. The contractor will contribute to this transition by optimizing workflows, integrating AI tools, and designing systems that allow creative teams to scale efficiently without the need for additional manual resources.
  2. AI Integration: AI is central to the transformation of WKND Digital’s creative workflows. The contractor will be expected to work closely with AI tools, integrating them into creative processes such as creative production, editing, voiceover creation, and content generation. These tools will help reduce bottlenecks, improve efficiency, and enable creative professionals to focus on high-level strategic tasks. As part of this role, the contractor will ensure that AI is seamlessly integrated into current workflows and contribute to the development of new AI-driven creative strategies.
  3. Focus on Scalable Creative Models: The company is adopting data-driven creative iterations to create scalable and repeatable content models. By analyzing successful elements from various ads and campaigns, the contractor will help build creative models that can be easily adapted and replicated across different clients and industries. This will allow WKND Digital to improve performance consistently while optimizing resource allocation.
  4. Leadership and Vision: Tom Patterson, CEO of WKND Digital, is seeking a leader who can manage a team of creative editors while also focusing on automation and process documentation. This contractor role requires someone who can not only lead the creative team but also think strategically about how to automate tasks, streamline workflows, and create systems that replace manual processes. This leadership role will involve working directly with the team to implement these changes while maintaining a focus on the long-term goal of software development.
  5. Diversifying Content Creation: WKND Digital is moving towards creating more diverse content, particularly across various industries. The contractor will work on developing creative strategies that go beyond repetitive ad formats, enabling creative exploration and the generation of engaging content across multiple verticals. The focus will be on high-level creative work rather than performing repetitive tasks, providing the contractor with opportunities to innovate and contribute to diverse campaigns.
  6. AI Tools for Creative Work: The use of AI tools like 11 Labs for voiceovers, Runway for creative production and video editing, and Pika Art for stock footage manipulation is a key aspect of the role. The contractor will be responsible for implementing and training the team on these tools, ensuring they are used to enhance creative output and optimize the content production process. The contractor will also contribute to the development of new AI tools that will help automate and scale creative tasks.
  7. Contract Work Proposal: Given the scale of the transition and the evolving nature of the company, Tom proposes starting with a contract position. This will allow both WKND Digital and the contractor to assess fit, understand the scope of the work, and ensure that the collaboration is effective before transitioning to a full-time role. The initial contract phase will focus on process and workflow documentation, AI integration, and creative strategy development.
  8. Client Expectations and Agency Transition: WKND Digital is moving away from the traditional agency-client relationship and transitioning towards a mentorship approach. Instead of simply executing campaigns for clients, WKND Digital will focus on guiding clients to use software and data-driven strategies to optimize their marketing efforts. The contractor will play a pivotal role in helping clients understand how to leverage AI-driven tools and creative strategies to execute their campaigns effectively.
  9. Goal of Reducing Overhead: A significant part of WKND Digital’s strategy is to reduce overhead costs by automating manual tasks and optimizing the creative process. By building AI-powered tools and systems, the contractor will help eliminate inefficiencies and ensure that the creative team can work with fewer resources while maintaining high productivity. This approach aligns with WKND Digital’s vision of maintaining a lean operation while delivering high-quality creative content at scale.
  10. Vision for the Future: WKND Digital has a long-term vision of developing a comprehensive software suite tailored to the needs of digital marketing professionals. This platform, akin to Adobe’s suite but focused on digital marketing, will integrate AI-driven tools for content creation, paid media, email/SMS marketing, CRO, and more. The contractor will be an integral part of the early stages of this vision, helping to build the foundation for this software, define its features, and ensure seamless integration with the creative workflow.

Key Objectives

  1. Standard Operating Procedures (SOP) Development
    • SOP for the creative content team covering creative production, editing, and iterations.
    • Design the creative editor role and responsibilities, as well as deliverables to ensure clarity and alignment within the team.
  2. Workflow Optimization & Design
    • Build and design creative workflows within Miro for the creative production and editing processes, ensuring efficiency and alignment with business goals.
    • Build and design a creative organization structure in Miro to optimize roles, responsibilities, and communication.
  3. Cross-Functional Workflow Design
    • Collaborate with Paid Media, Creative Design, Email/SMS, and CRO teams to design and implement enhanced workflows that connect various departments and ensure smooth cross-functional collaboration.
    • Focus on improving overall process efficiency and minimizing bottlenecks across departments.
  4. Daily Sync and Gap Identification
    • 1 hour per day with existing and new clients: Understand and identify gaps in current processes, strategies, research, briefs, etc. Dive deep into client feedback and needs to develop optimized processes.
    • 1 hour per day with current creative editors: Familiarize yourself with the current process, identify gaps, inefficiencies, and areas for improvement. Provide feedback on how the workflow can be improved.
    • 1 hour per day editing new iterations: Engage in hands-on editing for specific brands, generating and testing new iterations based on the current process to identify and refine successful strategies.
  5. Daily Syncs
    • Daily sync with Lucas Ambrosio, CEO of HOARD: A 15-minute daily sync to align on high-level strategic goals and identify areas for improvement and collaboration.
    • Daily sync with Tristan, Creative Operations Manager: A 15-minute daily sync to ensure alignment on operational goals, creative strategies, and overall team progress.
  6. Enhanced Workflow Development
    • Build and design an enhanced creative workflow that integrates seamlessly with other departments (Paid Media, Creative Design, Email/SMS, CRO) in Miro, working alongside Tristan and Lucas. Ensure this workflow is efficient and aligned with organizational objectives.
  7. AI Integration for Creative Strategy
    • Learn and leverage the Eunoia DTC direct response copywriting system to enhance creative strategies, utilizing AI tools to streamline content creation and iterations.
    • Automate the creative strategy process with AI, ensuring that the process is scalable and can be repeated effectively across multiple campaigns.
  8. Weekly Strategic Meetings
    • Participate in the weekly Black Ops meeting with the lead specialist to discuss advanced strategies, insights, and integration of AI tools in the creative process.

Deliverables

  1. Creative Workflow SOP: A comprehensive document outlining the SOP for creative content production, including creative production, editing, and iterations, with specific guidelines for the creative editor role and responsibilities.
  2. Miro Workflows and Organization Design: Fully designed and documented workflows for creative production and cross-departmental processes in Miro.
  3. Gap Analysis and Recommendations: Daily documentation of gaps in current processes, strategies, and briefs, along with actionable recommendations for process optimization.
  4. Iterative Creative Work: Regular edited creative content iterations, demonstrating improvements and optimizations made based on existing strategies and feedback.
  5. AI-Driven Creative Strategy: Automated creative strategy processes and AI integration for creative strategy, including the use of the Eunoia DTC direct response copywriting system.

Time Allocation

  • 1 hour per day with clients (identify gaps in current process and strategies).
  • 1 hour per day with creative editors (identify inefficiencies and areas for improvement).
  • 1 hour per day editing new iterations for specific brands.
  • 15-minute daily sync with Lucas Ambrosio, CEO of HOARD.
  • 15-minute daily sync with Tristan, Creative Operations Manager.
  • Weekly: Black Ops meeting with lead specialist within the organization.
  • Weekly: Executive sync with Tom, Lucas, Tristan

Compensation

  • $45-$65 per hour (1099 Contractor)
  • Expected hours: 10-20 hours per week
