Role Overview

We’re looking for a Recruiting Coordinator (Contractor) to partner with our Talent team and help keep our hiring process running smoothly across the UK and wider EMEA region. In this contractual role, you’ll be managing interviews, coordinating schedules, and ensuring candidates have a professional, well-supported experience from their first conversation to their onsite interview.

Harvey is expanding quickly across Europe, and you’ll support hiring across multiple functions and geographies. The role offers exposure to a fast-moving AI company, close partnership with recruiters and hiring managers, and the opportunity to help shape an efficient and well-organised hiring process across EMEA.

This is a hybrid role based in our London office. You’ll be onsite for in-person interview days and occasional team collaboration meetings, helping ensure both candidates and interviewers have a seamless experience on the ground.

What You’ll Do
  • Manage interview scheduling and support adjustments as plans evolve, across both UK and EMEA time zones

  • Partner with recruiters and hiring managers to deliver a smooth and professional candidate experience throughout the region

  • Support in-person and virtual interview days in our London office - greeting candidates, preparing rooms, and ensuring the onsite experience runs reliably and on time

  • Maintain accurate, up-to-date information in Ashby, our applicant tracking system

  • Collaborate closely with teammates across the Recruiting team to ensure our EMEA processes are consistent, organised, and scalable

What You Have
  • 1–3 years of experience in recruiting coordination, admin assistance, customer service or operations in a fast-paced environment

  • Experience working with Ashby (our primary ATS) or a similar applicant tracking system

  • A highly organized approach and comfort managing lots of moving parts at once

  • A friendly, clear, and professional communication style — especially over email and Slack

  • The ability to solve problems independently, adjust to changes quickly, and stay cool under pressure

  • A love of creating structure, staying on top of details, and helping others succeed

  • Proficiency in Google Workspace (Docs, Sheets, Calendar, etc.)

Location & Schedule
  • This is a hybrid contract role based in our London office

  • The engagement is scoped for 6 months at roughly 40 hours per week

  • You’ll be onsite for in-person candidate interviews and for periodic team collaboration sessions as part of our hybrid schedule
