Department environment 

This office management team are responsible for the day to day running of Coppers Head Office, Blockchain House. The team aim to create and maintain a pleasant working environment, ensuring high levels of organisational effectiveness, communication, and safety. The facilities operations and front of house are responsible for the smooth run of all Facilities and to deliver the highest level of service internally and externally to support the business operations.  

Key Responsibilities of the role

Front Of House is the first point of contact at Blockchain House and will deliver the highest level of service to guest and staff.  

  • Meet and greet all visitors, employees, and externals to Blockchain House
  • Ensure that all types of visitors adhere to the access control procedure 
  • Manage key handling procedures
  • Support the facility and security team with break covers daily 
  • Manage staff and client enquiries in a timely manner
  • Oversee parcel management, sort and deliver post 
  • Support with all building soft services (towel collections, general upkeep etc) 
  • Run weekly building walk arounds, spot checks and flag any cleaning or maintenance issue
  • Keep track of all key calendars, events, assist with meeting room presentation, event check-ins and liaise with relevant teams
  • Oversee room and event space booking system
  • Maintain a tidy and presentable reception area 
  • Liaise with Security, Cleaning, Events, Facilities and Operations Team 
  • Maintain the highest standard of customer service and escort guests around the building when required 
  • Manage Office Supplies
  • Support Facility Operations team with drafting documentations, procedures and keep records up to date
  • Support Events and production teams where required with registration, hosting, and food and beverages
  • Develop and maintain an up-to-date Handbook to the building and services
  • Deputise for the Building Management team when required

Your experience, skills and knowledge

  • Experience as a Front of House assistant in a fast-growing organisation
  • Confident in using email, Microsoft Office package, and communication tools like Slack.
  • Excellent Communication and interpersonal skills 
  • Hands on experience with Office and Facilities equipment 
  • Organisational skills, eye for detail, multitasking 

Desirable

  • Understanding of Facilities and Maintenance 
  • Event experience
  • Understanding of Health and Safety at Work
  • First Aid and Fire Marshall Trainings
