Role Profile

Title: 

Receptionist / Administrator

Reports to: 

Facilities Manager

Context:

Vanderlande is the global market leader in baggage handling systems for airports, and sorting systems for parcel and postal services. Working within the facilities team the Receptionist will be responsible for welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries. Direct visitors by maintaining employee and department directories; giving instructions. Maintain security by following procedures; monitoring sign in / out system.

Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

Directs visitors by maintaining employee and department directories; giving instructions.

Maintains security by following procedures; monitoring log in/out system;

Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.

Maintains safe and clean reception area by complying with procedures, rules, and regulations.

Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

Contributes to team effort by accomplishing related results as needed.

Arrange lunches for meetings.

Arrange travel.

Opening date stamping and distributing incoming post and distributing.

Any other administrative tasks to support the business.

Build Reputation with Customers

Create a highly professional and effective first point of contact for all external customers and visitors.

Create an inviting and professional reception that customers and employees value.

Drive to Win

Calculating and comparing costs for required goods to achieve maximum value for money.

Team Play

Can do attitude, willing to help and support team members.

To support Administrators and Departments as and when required for administrative support or training course material.

Every day better

Always looking to be proactive and support the business ensuring that the reception reflects the professional business that we are.  Look at best practice to improve efficiency.

Safe Base & We Care

Adhere to Company H&S rules ensuring any manual handing of deliveries is undertaken safely.
Ensure IH & CH contract files are updated monthly.
