We are looking for a Receptionist and Office support to join the team on an interim basis.

What you will be doing:

Receptionist duties:

• Provide a professional and welcoming reception service for clients, visitors, and employees.

• Meet and greet guests, ensuring they are signed in and have been offered a drink. Then notifying employees of their arrival.

• Assist external engineers and contractors attending site by directing them to the appropriate areas.

• Manage meeting room bookings and help ensure rooms are set up and going on coffee runs for directors.

• Manage requests for official company letters requiring a company stamp.

• Support with the setup and organisation of monthly Board meetings.

• Support onboarding of new employees by preparing desks, access passes, and welcome bags.

• Assist with the coordination of internal events and team lunches.

• Assist with travel bookings or visitor arrangements where needed.

• Act as a first point of contact for office-related queries from employees.

• Provide ad hoc administrative support to the People & Culture team.

Office support:

• Manage incoming and outgoing mail, deliveries, and courier collections.

• Ensure all outgoing post is organised and placed in the correct location for collection.

• Maintain meeting rooms to a high standard, ensuring they remain tidy and well stocked.

• Monitor stock levels of supplies and ensure timely reordering.

• Order and office supplies, including stationery and general office consumables.

• Carry out daily replenishment of office essentials across all office areas.

• Maintain tidiness in shared spaces including reception, kitchen areas, post room, and restrooms.

• Manage and process expenses using the corporate card.

• Report office maintenance issues as they arise.

• Support the People and Culture Co-ordinator with managing office health & safety compliance.

• Monitor cleaning standards across office areas and raise any issues with the cleaning provider to ensure a consistently high standard.

• Provide general office administration support as required.

• Support the People and Culture Co-ordinator with any general tasks.

What we need from you:

  • Excellent communication and interpersonal skills.

  • Strong organisational skills with the ability to manage multiple tasks and priorities.

  • Confidence in handling reception duties, including answering calls, managing enquiries, and coordinating visitors.

  • A proactive attitude and willingness to support the wider team with office administration.

  • Good attention to detail and a high level of accuracy.

  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.

  • The ability to work independently while maintaining a collaborative approach.

  • Reliability, discretion, and a commitment to providing excellent customer service.

  • Previous experience in a reception, front-of-house, or office support role is desirable.
