Receptionist and Office Coordinator Job Description:

Department overview:

Store design and construction & FM is part of Capri Holdings EMEA group working across all the  multibrand stores and offices guaranteeing high standard services related all properties, including utilities service, waste, cleaning and professional delivery of projects ensuring efficiency and DNA of the brands, always having in mind long term Business strategy

Who You Are:

A self-starter, used to work in a fast passed, continually evolving environment and as such challenging but simultaneously rewarding, hands-on with a great deal of autonomy and responsibility.

What You’ll Do:

  • Manage front of House/ Reception duties; answering calls/ Emails/ meet and greet clients
  • Control levels of corporate vendors - ordering and maintenance
  • Be point of contact for all ordering of supplies
  • Manage booking out meeting rooms to ensure efficient use of space for corporate population
  • Establish postal routines
  • Manage  invoicing and balance sheet
  • Weekly manage maintenance and cleaning audits
  • Ensure all office repairs and cleaning issues are logged and followed up with the correct supplier
  • Support the retail FM team with tasks management
  • Determine the nature and urgency of the repair problem and report the problem to the appropriate vendor
  • Coordination with the helpdesk team ensuring all the relevant request have been addressed properly/ facilities database management
  • Managing effective invoice approvals as well as cost control
  • Keep key holder/ Safety Walks for the new starters/ First Aid/ Fire Marshal information up to date
  • Assist with any internal office moves
  • Escalate any maintenance/building issues to the Facilities Manager

You will need to have:

  • Good verbal and written communication skills are essential
  • English, German and French Fluent
  • Good sense of humour
  • Ability to work under pressure in a fast-paced environment
  • Good IT skills (Office)
  • Facilities experience
