Your new role

The Projects Planning Coordinator  supports the Project Manager Street Hub and the wider Roadside Programmes team, including the submission and coordination of relevant planning applications and consents to enable the projects team to deliver significant capex investment into the Roadside estate.

The role requires strong organisational skills and attention to detail to support capex programmes, asset expansion and refresh projects across the Global Outdoor Roadside estate.

This key role reports to the Project Manager Street Hub, with stakeholders including the Global Outdoor executive, Operations and Transformation Programme Directors and Head of PMO.

Key Responsibilities

  • Supporting the maintenance of the project plan, including budgets, timelines, and resources.
  • Monitor contractors to ensure compliance with agreed deadlines.
  • Preparing instruction documentation to planning partners, including calculating costs, seeking costs approvals, raising POS, preparing statements of works documentation.
  • Liaising with local authorities to track planning submission deadlines and outcomes.
  • Supporting regular progress meetings and tracking actions.
  • Track planning expenditures to ensure compliance within budgets.
  • Logging and reconciling invoices.
  • Updating forecast, perform risk analysis, develop mitigation strategies to maintain key project planning targets.
  • Resolve ad hoc project-related issues.
  • Create and manage trackers, registers, and tools to ensure relevant information is accessible and easy to find.
  • Help produce programme reporting packs for project steercos and operational groups.
  • Work closely with the estates and Partnerships teams to ensure collaboration with the project delivery function.

What Success Looks Like 

  • A solid understanding of the project’s deliverables within the Roadside Street Hub investment programme.
  • Fully understood the current status and pick up the key functions, dependencies and interfaces once handed over.
  • Build relationships with the Programmes, wider operations and Partnerships teams and recognise key challenges with stakeholders and partners in our business.
  • Support the development of key improvement processes to enable successful delivery of our applications

What You’ll Need

  • Working knowledge of project planning, tracking and reporting.
  • Working knowledge of collating and submitting planning applications within local authority jurisdictions.
  • Working knowledge of dealing with private landlords, wayleaves and demises.
  • Experience of working with third party contractors and keeping track of their deliverables.
  • High attention to detail in producing meeting materials, minutes, and action plans.
  • Strong communication and relationship management skills with internal and external stakeholders.
  • Comfortable working in a fast-paced setting.
  • Structured, motivated, well-organized, and methodical, with a strong focus on deadlines, detail, and accuracy.

Qualifications and Training

  • Proficiency with MS Project, Excel, Visio and MS Office including power point.
  • Experience of working in project environments
  • Experience working within planning, consents, wayleaves or local authority estates (desirable)
