We are looking to strengthen our team with the addition of a French Speaking Project Coordinator in London to support our Senior Producers in planning and delivering digital, live events and experiences delivered across the globe.

You will have a minimum of 2 years’ events agency experience or work in a similar field, with a passion for helping teams deliver creative, high-impact projects. You’ll thrive on organization, collaboration, and problem-solving across multiple projects and time zones, ensuring every project runs smoothly from brief to delivery. Exceptional time management and organizational skills are key, along with a genuine enthusiasm for events and brand storytelling.

Overview

What is the purpose of the job? 

You'll support Senior Producers and production teams to ensure projects are delivered efficiently, on time, and on brief. From coordinating logistics to liaising with clients and suppliers, you’ll be central to keeping projects on track and ensuring a seamless experience for both internal teams and clients.

The Project Coordinator is responsible for:

  • Supporting the planning, execution, and delivery of projects in line with client briefs.
  • Assisting in client communication and relationship management.
  • Coordinating with internal teams, stakeholders, and international partners.
  • Helping manage budgets, schedules, and project documentation to maintain accuracy and efficiency.
  • Being on-site during activations and events as needed, ensuring smooth operations.

Reporting to a Senior Producer, the Project Coordinator is a vital part of the agency’s delivery team — ensuring projects are executed effectively, creatively, and on time.

  • Location: DesignScene London (working across global projects)
  • Employment Type: Permanent full time, 3 days in the office, Monday and Fridays WFH.

We’re looking for a passionate, fast-moving Project Coordinator to join our experiential team — someone who thrives on organisation, loves supporting creative delivery, and can manage multiple moving parts across global projects. Reporting to a Senior Producer, this role supports planning, delivery, and client satisfaction for events, activations, and digital experiences.

This is a key operational role for someone eager to make an impact — ensuring the team’s creative vision is delivered smoothly, on budget, and on time.

What do you have to achieve?

  • Efficient support of producers and production teams.
  • Delivery of projects that meet client expectations and budgets.
  • Accurate and timely project administration, documentation, and reporting.
  • Smooth communication across internal teams, clients, and international partners.

What do you have to do?

  • Support project administration: agendas, contact reports, diary management, and client correspondence.
  • Assist with smaller project budgets and reporting under Senior Producer guidance.
  • Coordinate with internal and external stakeholders to keep projects on track.
  • Maintain project documentation: furniture lists, storage items, schedules, meeting notes.
  • Manage deliveries, couriers, and logistical requirements.
  • Conduct venue research, booking arrangements, travel, and crew coordination.
  • Assist on-site during activations and events.
  • Learn and maintain project management systems: expenses, timesheets, budget tracking.
  • Support Senior Producers in presenting updates to clients and internal teams.

What are the skills required?

  • Clear and effective communication skills.
  • Flexible and able to multitask across multiple projects.
  • Strong time management and organisational skills.
  • Excellent research skills and attention to detail.
  • Understanding of creative, design, and production workflows.

What technical knowledge do you need?

  • Competent use of Microsoft Office (Word, Excel, Outlook, PowerPoint), Apple Keynote, and cloud applications.
  • Comfortable learning project management software and reporting systems.
