We are seeking an experienced and dynamic Personal Assistant who will deliver seamless executive support, managing complex diaries, meetings, and international travel, this role requires someone who is highly organised, discreet, and capable of operating independently, ensuring all material documents, dates, risks, and decisions are clearly recorded, actively tracked, and consistently visible.
Alongside executive support, you will act as the central point of control for governance, legal documentation, estates information, and corporate obligations across the Group. You will also work closely with internal teams, external advisors, and senior leadership to ensure information remains accurate and actionable. This includes converting informal inputs into structured records, escalating issues calmly and appropriately, and maintaining consistent operational clarity.
A core part of the role involves maintaining live dashboards and monitoring critical timelines and obligations to prevent silent drift, missed deadlines, or unmanaged exposure. You will also produce a concise weekly control summary highlighting material risks, upcoming deadlines, and key decisions requiring attention.
Handling ownership, legal, and strategic information with the highest level of confidentiality and sound judgment is essential. Operating independently under pressure, you will provide the organisation with the confidence that all material matters are captured, visible, and under control.
We are open to candidate location, but the selected candidate will need to travel to HQ in central London and also occasional travel to other sites in the UK.
Essential Experience:
Operational Control & Dashboard Management:
- Proven experience maintaining structured, live dashboards (e.g., Excel, Power BI, Smartsheet, Monday.com).
- Background in managing estates, lease data, legal records, or corporate governance trackers.
Risk, Deadline & Compliance Monitoring:
- Demonstrated ability to prevent missed deadlines, unmanaged exposure, or process drift through proactive tracking.
- Experience producing regular risk summaries or operational control reports for senior leadership.
- Familiarity with monitoring key dates, filings, contract milestones, or regulatory obligations.
Stakeholder Coordination & Information Accuracy:
- Experience working with internal teams, external lawyers, and advisors to gather and verify information
- A track record of persistent but professional follow‑up, ensuring records and dashboards remain accurate.
- Ability to translate conversations, documents, and fragmented inputs into structured, actionable updates.
Confidentiality & Professional Judgment:
- Previous roles requiring handling of highly confidential legal, ownership, financial, or strategic information.
- Strong judgment on what is material, sensitive, or risk‑critical, and how it should be communicated.
Independent, High‑Pressure Operation:
- Experience working independently in environments with limited oversight.
- Proven ability to stay calm and structured under pressure, ensuring all critical matters stay under tight control.
- Background in roles requiring personal ownership of visibility, accuracy, and operational discipline.
Executive Support & Operational Control:
- Experience managing complex diaries, scheduling, and international travel logistics.
- Ability to prepare briefing packs, meeting notes, and concise decision summaries.
