The role
We're looking for a reliable, proactive, and highly organised person to keep both our CEO and our office running smoothly.
This role is a genuine 50/50 split between professional and personal support. Half of your time will be spent as a classic Executive Assistant: managing the CEO's work diary, coordinating meetings, handling business travel, and keeping office operations ticking. The other half will be spent supporting the CEO as a person: running personal errands, managing household and lifestyle admin, booking personal appointments, and generally making day-to-day life easier outside of work. Both sides of the role are equally important, and we want someone who is genuinely happy doing both.
The single most important quality we're looking for is proactivity. We want someone who thinks ahead - who anticipates what's needed before being asked, and who plans for situations the CEO hasn't even considered yet. If the CEO is booked on a flight, you've already arranged how they get to the airport, how they get from the airport to the hotel on the other side, and what they need to have with them. Reacting well isn't enough. We want someone who is two steps ahead.
We'll also expect you to be resourceful. We don't expect you to arrive knowing the answer to everything - we expect you to know how to find it. You'll be working in a company where AI is central to how we operate, and we'll expect you to lean on it heavily in your day-to-day: drafting, researching, summarising, problem-solving, and generally getting more done than a traditional admin role ever could. You'll be asked to demonstrate how you use AI tools during the interview process, so come ready with real examples.
Hours and working pattern
- Office presence is required Tuesday, Wednesday and Thursday as a minimum - these are our core in-office days and non-negotiable for this role
- Outside those days, we're flexible - work the additional hours that suit you, whether that's in the office or at home
- The role is open to both part-time and full-time applicants. We're particularly open to applicants looking for school-friendly hours around the core days
- Working pattern will be agreed with you, as long as the Tuesday-Thursday office presence is in place
What you'll do
Supporting the CEO professionally (around 50% of the role)
- Manage and organise the CEO's work diary, prioritising meetings and protecting focus time
- Handle inbound calls, emails and messages, responding on their behalf where appropriate
- Arrange business travel end-to-end, including everything around the flight: how the CEO gets to the airport, what they need on arrival, onward travel, and how the return journey runs
- Coordinate meetings end-to-end: agendas, prep, minutes, follow-ups
- Prepare and organise documents, briefings, and anything else needed to help the CEO show up ready
Supporting the CEO personally (around 50% of the role)
- Manage personal diary, appointments and reminders
- Run personal errands and handle ad-hoc tasks as they come up
- Coordinate personal travel, bookings and reservations
- Manage household and lifestyle admin: suppliers, deliveries, subscriptions, correspondence
- Anticipate personal commitments and handle the details before they become problems
- Handle everything with complete discretion and confidentiality
Running the office
- Keep the office running well: supplies, equipment, general upkeep
- Manage suppliers and any office maintenance or facilities issues
- Oversee health and safety compliance, including risk assessments and emergency procedures
- Maintain office systems for filing, document storage and general organisation
- Welcome visitors, coordinate meeting rooms, and look after hospitality
Keeping the team ticking
- Provide light admin support to the wider team when needed
- Help with basic people admin: maintaining employee records, coordinating interviews, supporting new starter onboarding. You won't need to be an HR expert. You'll need to be resourceful enough to figure out the right answer, often with AI's help

About you
Above all, you are proactive. You think ahead by default. When you see a calendar entry, you're already asking yourself what's needed around it - transport, prep, follow-up, contingencies. You don't wait to be told. You spot the gaps and close them before anyone notices they were there.
You're also highly organised, you take real ownership of your work, you communicate clearly, and you handle confidential information with total discretion - both professional and personal.
Crucially, you're genuinely happy with the mix of professional and personal support this role involves. Some people love this kind of blended EA role; others would rather focus purely on the business side. If it's the former, read on.

- Confidence with Microsoft Office and modern workplace tools
- Able to commit to Tuesday, Wednesday and Thursday in the office as a minimum
Nice to have (but none are required):
- Previous experience as a PA, EA, or Office Manager, particularly in roles blending professional and personal support
- Some HR admin or recruitment coordination experience
- Familiarity with project management tools
- Working knowledge of office health and safety
