About the role
We are currently looking for a Personal Assistant and Team Assistant to our European Sales, Marketing and Innovation (SMI) department.
In this role, you will provide professional and pro-active support to the Sales, Marketing and Innovation Director with high levels of confidentiality. You will be integral to the smooth running of the European Sales, Marketing and Innovation department through active management of diaries, travel, hospitality and associated expenses. You will also support the SMI management team members with calendar management and other ad hoc administrative tasks.
Key responsibilities:
Calendar and Travel Management - maintain and provide a support service for the Sales, Marketing and Innovation Director’s daily schedule, including forward planning of workload, diary management and co-ordinating and collating all relevant paperwork.
Manage end to end the travel arrangements, plan and implement hospitality arrangements.
Inbox management: follow up of correspondence and draft replies using own initiative.
Service meetings, including preparation of documentation, obtaining and preparing briefing materials and presentations, attending, taking minutes when requested/necessary and follow-up.
Proactive collaboration with various internal departments and external organisations.
Ensure appropriate systems and processes are developed and maintained to support effective and efficient day-to-day running of the department.
Effectively plan and coordinate corporate events and conferences, from inception through to tendering, to event management, budgetary control and invoicing; manage expenses claims on behalf of the Director.
Calendar management of SMI Management Team and ad hoc administration support (team meetings, POs etc.).
About You
A proactive, independent and detail oriented professional with previous experience in a management assistant role in an international environment.
Excellent written and spoken English skills.
High levels of integrity – you demonstrate the highest levels of confidentiality and discretion.
High energy levels with a can-do mindset.
Advanced level in Microsoft Office applications – particularly in PowerPoint and Excel.
Excellent organisation skills and able to manage various topics in parallel.
Ability to work in a fast-paced changing environment.
Location: London - Paddington (UK) or Brussels - Diegem (Belgium) – hybrid
