Introducing the People Team at Trainline 👋
At Trainline, the People Team is central to supporting the company’s ambition and growth plans.
We are looking for a People Operations Advisor to join our UK People Operations team. Reporting into our UK People Operations Team Manager, you’ll work on all things HR and be responsible for supporting employees across the business and helping to make Trainline a great place to work. You’ll provide high quality support in relation to both core HR processes and ad-hoc projects and quickly become an integral part of the team and wider business.

As a People Operations Advisor at Trainline, you will...🚅
Provide high-quality first-line support to Trainliners by monitoring the People mailbox, ensuring queries relating to HR processes and policies are resolved professionally and within agreed SLAs.
Maintain accurate and high-integrity people data in our HRIS (HiBob), ensuring updates are completed promptly and using a data-first mindset to flag inconsistencies or risks.
Offer clear, consistent guidance to Trainliners and managers on People policies, practices, and processes, escalating more complex cases as needed.
Support the preparation, validation, and processing of the monthly UK payroll, ensuring data accuracy, timely updates, and strong alignment between HiBob, payroll workflows, and Finance.
Assist People Business Partners with cyclical People processes (Absence management, Performance, Salary Review, L&D, Engagement) by preparing data, generating reports, running checks, and helping communicate key actions or deadlines.
Coordinate onboarding activities including pre-boarding support, completion of background checks and Right to Work documentation, and ensuring new starter data is accurate and complete across systems and workflows.
Work closely with Accounts Payable to process People-related invoices and POs accurately, supporting efficient financial administration.
Develop, maintain, and interpret weekly/monthly People reports, using tools such as HiBob, Excel/Sheets, or BI dashboards to identify data issues, trends, or insights that help the team drive better decision-making.
Support the review, improvement, and implementation of People policies, processes, and templates, ensuring they are up to date, user-friendly, and aligned with a tech-first, self-service culture.
Contribute to People team projects and continuous improvement initiatives, bringing a curiosity for technology and process optimisation—e.g., testing new HRIS features, documenting workflows, supporting change rollout, or helping improve the employee experience through digital solutions.
Adopt a tech-forward approach in daily work by championing the use of HR systems, automation, and digital tools to enhance efficiency and accuracy across People Ops processes.
Based on the sensitive nature of the role, it’s important that you bring the appropriate degree of discretion and empathy in the way you operate. To this end, you’ll be responsible for identifying escalation points and making sure that any issues are managed appropriately and are dealt with efficiently. Furthermore, being heavily involved in all our HR processes means that you’ll be ideally placed to contribute towards the development of new solutions that further enhance the quality, competence and effectiveness of our current offering.

Foundational understanding of HR best practices, employment law, and core HR processes, with a willingness to stay current on regulatory changes.
Some experience supporting payroll administration, including maintaining payroll data, running checks, and a basic understanding of UK tax, NI, and statutory requirements.
Comfort working with HR systems (ideally HiBob or similar HRIS) and a genuine interest in using technology to streamline and improve People processes.
Data-literate with the ability to produce, interpret, and validate reports, ensuring data quality and using insights to support People Partners and business needs.
Exposure to process improvement—e.g., helping document workflows, testing new HRIS features, refining forms/templates, or supporting implementation of new ways of working.
Working knowledge of the hiring lifecycle, onboarding processes, and Right to Work/Visa compliance, with experience supporting pre-employment checks.
Effective verbal and written communication skills, with the ability to explain processes and policies clearly and professionally.
Strong attention to detail, especially when handling data, contracts, payroll inputs, or employee records.
Good organisational and time-management skills, able to juggle competing priorities and work to SLAs.
Proficiency with Microsoft Office/Google Workspace, particularly Excel/Sheets for data handling and reporting (e.g., formulas, data validation, filters).
We’re looking for a team player with a ‘roll your sleeves up’ attitude. A self-starter with a helpful, people-orientated demeanour and a high degree of integrity and confidentiality, someone itching expand upon their HR and payroll experience. Super-strong organisation and interpersonal skills are essential, and you’ll also bring the ability to work at pace and with agility.
An HR qualification isn’t necessary - as long as you can demonstrate your interest in HR and show a comprehensive understanding of HR processes and policies, we’ll provide you with the necessary professional development to make you an HR superhero.
This is fantastic opportunity for someone who is passionate about HR, keen to work in a fast-moving, forward-thinking technology business, and looking to develop their career.
This is a role based in the UK but as we also support offices in France, Spain and Italy so experience of working with employees in these countries would be helpful but is not essential.
