Cloudinary is looking for a Workplace Experience Manager with a talent for creating memorable, positive employee experiences for all phases of the employee lifecycle. This role intersects with various aspects of the organization, including culture, physical spaces, and technology. This is a great opportunity for you to drive a high-quality employee experience through initiatives and bring out the best in people, as part of Cloudinary’s global HR team. Your goal is to create and maintain an environment that promotes employee satisfaction, productivity, and engagement. You will drive continuous improvement in the operational efficiency and processes across our locations, constantly finding ways to improve our processes while providing exceptional service and effectively managing our costs. 

Responsibilities:

  • Office Management:
  • Update, implement and maintain office guides and procedures.
  • Responsible for overseeing day-to-day operations of our office, including maintenance of office facilities and equipment. Manage office supplies inventory and place orders as necessary.
  • Ensure the office environment is clean, safe, well-organized, and energetic.
  • Organize, select, and/or distribute swag to UK/SGP/EUR Remote employees.
  • Support onboarding of new hires.
  • Partner with IT to oversee the use and maintenance of office technology.
  • Activities and Events
  • Responsible for planning, executing, and participating in regular events (ie. Happy Hour, L&D onsite initiatives, volunteer events, social activities) both in the office and remote
  • Meet weekly with the global team to coordinate and plan company-wide events. 
  • Work closely with leaders to assist with internal and external meetings and events (virtual and onsite).
  • Assist with travel arrangements as needed.
  • Communication: 
  • Act as the primary point of contact for internal communications.
  • Proactively communicate weekly updates, and events, to the UK/SGP/EUR Remote teams
  • Share applicable communications to broader Cloudinary and external.
  • Project Management:
  • Assist in planning and executing office-related projects and events.
  • Monitor project timelines and deliverables.
  • Financial Duties:Assist in budget preparation and expense management.
  • Handle invoices, and receipts, via Tipalti and Mesh.
  • Liaise with the Finance team to ensure accurate financial record-keeping via Tipalti and Mesh
  • LT Calendar Management:
  • Provide administrative support to Cloudinary’s LT, with a focus of calendar management, and meetings coordination.
  • Support in scheduling LT offsites / partner meetings.
  • Working with relevant stakeholders to ensure meetings are effectively set up, for example by tracking execution of deliverables in a timely manner 
  • Compliance and Security:
  • Ensure compliance with health and safety regulations.
  • Maintain confidentiality of sensitive information and documents.
  • Implement and manage office security protocols.

About You:

  • 5+ years of owning and creating people experiences in a workplace
  • Proven skills in planning, budgeting, and project management
  • Experience with creatively planning and executing employee events
  • Ability to handle sensitive and/or confidential information
  • Proven experience to work collaboratively across multiple stakeholders and geographies
  • Able to build social connections in the workplace
  • Experience working with building management and landlords, including office refurbishments, maintenance, and other facilities-related projects
  • Exceptional written and verbal communication skillsExperience with Google Suite, MS Office, and Excel
  • Must be able to be physically in the office by no later than 8:30 am Monday - Thursday.
  • Should be able to join occasional calls with HR team members in the West Coast, US.
