Purpose of the Role

An exciting opportunity for anyone looking to step into a PA role within the media industry. In this position, you’ll provide high‑quality administrative and organisational support to a senior leader across two brands, helping to ensure the smooth running of day‑to‑day operations. You’ll work with accuracy, discretion and professionalism, often acting as the first point of contact and handling sensitive information with care.

Key Responsibilities

  • Diary & Meeting Management: Manage complex diaries, coordinating internal and external meetings, liaising with senior management and EA/PA teams, and handling correspondence with clients and EA teams regarding scheduling and room bookings.

  • Travel Coordination: Arrange UK and international travel, ensuring efficient, accurate and timely planning across all required itineraries.

  • Office Operations & Supplies: Oversee ordering and stock control of office supplies, including food and beverages for events and socials, while maintaining overall office standards and ensuring issues are promptly reported and resolved.

  • Team Meetings & Hybrid Support: Organise monthly hybrid team meetings, including scheduling, preparing presentation materials, and overseeing room setup for both in‑person and virtual attendees.

  • Event & Pitch Support: Support agency events and major client meetings or pitches by managing room bookings, coordinating with IT and catering teams, and acting as the primary contact for external partners.

  • Financial & Administrative Support: Process expenses, oversee budget management, and provide administrative support across wider agency initiatives, including Media Partner sessions, training, award submissions, PO raising and travel assistance.

Person Specification

  • Proactive Approach: Demonstrates initiative, sound judgement and the ability to work autonomously while managing competing priorities.

  • Organisational Excellence: Strong organisational skills with a meticulous approach to diary management, documentation and workflow coordination.

  • Communication Skills: Clear and confident communicator with the ability to liaise effectively at all levels, both internally and externally.

  • Technical Competence: Proficient in Microsoft Office and other standard business systems, with the ability to prepare polished presentations and documents.

  • Professionalism & Discretion: Able to handle confidential information sensitively and maintain a high level of professionalism at all times.

  • Team Collaboration: Works well with colleagues across different teams, contributing to shared goals and supporting wider operational needs.

  • The team is based in our London office but operates under flexible working arrangements. The team are currently in the office every Tuesday and Thursday, and often a Wednesday as well
