As part of our Global Procurement team you'll play a pivotal role in not only contributing to performance but also building and protecting Diageo's reputation across our supply base. About the role

We are seeking a highly skilled Personal Assistant to support our Chief Procurement Officer and Head of Global Brand Supply in our Supply Chain and Procurement organisation.

This is a varied and challenging role, which requires a high degree of proactivity, flexibility, initiative, and confidentiality. You will be offered ample opportunities to grow and maximise the impact of the leaders and the teams you support.  The world of work is changing and the ways in which you can contribute to the success of the business is also evolving. Getting to know and understand the business areas you support will be key to support the leaders, their effectiveness, their meetings, and core projects.

Top Accountabilities

  • Exceptional diary management

    • Anticipating needs, understanding complex priorities, and ensuring seamless scheduling for leaders.

    • Scheduling recurring and ad-hoc internal and external meetings, ensuring consideration of the time zones of those attending. This includes regular touch points with key Leadership Team and Exec members and both internal and external key stakeholders.

    • Co-ordinating regular business reviews with global categories, functions, and leaders.

    • Proactively managing diary space to facilitate pre-read preparation and completion for important meetings.

  • Travel, expenses and purchase order coordination:

    • Travel, visa and accommodation management and coordination, ensuring alignment with budget.

    • Timely management of expenses via Concur.

    • Ensure all Purchase Orders, invoices and expenses are completed in a timely, accurate and compliant manner.

  • Organisational data management and Leadership Team member onboarding oversight

    • Oversee and facilitate inductions of new LT members into the Global Procurement function.

    • Proactively manage and maintain all Org charts and email distribution lists.

  • Event planning and ad hoc task execution:

    • Managing routine one-off and recurring tasks, including resolving issues and implementing comprehensive solutions

    • Management and organisation of internal and external events e.g. conferences, meetings. This includes providing logistics support for both face-to-face or virtual, onsite and offsite meetings.

About you

To thrive in this role, you’ll need:

  • Proven experience as a high-performing PA or Team Assistant in dynamic environments.

  • Exceptional planning skills with a strong attention to detail under tight deadlines.

  • Exceptional interpersonal skills to build and sustain excellent relationships across a diverse range of cross-functional networks.

  • Creative problem-solving skills tailored toward supporting senior leaders effectively.

  • To be highly organised and self-motivated, with an ability to anticipate, effectively prioritise and progress workload.

  • Able to demonstrate discretion in handling personal/confidential matters seamlessly.

  • Experience of working across geographies and with a diverse set of people and businesses internally and externally.

  • Experience working with; Concur, Condecco, Coupa, Outlook & Microsoft Office & virtual meeting tools (e.g., Zoom).

  • Ability to set up and run virtual meetings – anticipating needs, utilising best practice tools and technology to drive effectiveness.
