The Role:
We are looking for a Personal Assistant to provide senior-level, trusted support to the Chief Business Development & Marketing Officer and the Director of Operational Excellence & Planning, operating as a key enabler of their effectiveness. The role delivers a high-quality, proactive service in a fast‑paced, global environment, supporting informed decision‑making, prioritisation and delivery across a complex portfolio. It requires sound judgement, discretion and the confidence to act on behalf of senior leaders while building strong, effective relationships across the firm.
Your Key Responsibilities:
Act as a trusted extension of the Chief Business Development & Marketing Officer and Director of Operational Excellence & Planning, anticipating priorities, managing competing demands and enabling focus on strategic objectives.
Own and manage complex, fast‑moving diaries and inboxes, acting as an effective gatekeeper and ensuring priorities, deadlines and actions are proactively managed.
Apply sound judgement and initiative to progress matters efficiently, handling confidential and sensitive information with discretion and professionalism.
Serve as the primary point of contact for internal and external stakeholders, representing senior leaders with credibility and authority across a global network.
Coordinate and support senior-level meetings, governance forums and offsites, ensuring clear agendas, appropriate preparation and effective follow‑up.
Manage end‑to‑end travel and logistics, including complex international itineraries, anticipating risks and proposing efficient schedules aligned to business priorities.
Work closely with the wider PA network to ensure seamless, consistent support and provide cover where required.
Identify opportunities to improve ways of working, including the effective use of technology, automation and AI tools, while taking ownership of ongoing professional development.
What we’re looking for:
Significant experience (typically five years or more) providing senior-level PA or EA support within a complex, fast‑paced professional environment, including support to Chief and Director-level leaders.
Demonstrated ability to exercise sound judgement, discretion and credibility while managing sensitive information and multiple, competing priorities.
Highly organised and adaptable, with strong self‑management skills and the resilience to remain calm and effective under pressure.
Confident, articulate communicator with excellent written and verbal skills, including drafting correspondence on behalf of senior leaders and engaging credibly with stakeholders at all levels.
Strong practical capability across Microsoft Office (Outlook, Word, Excel and PowerPoint), with experience and interest in using AI tools such as Copilot and ChatGPT to enhance efficiency.
Professional, proactive and service‑oriented, with a strong sense of integrity and a clear understanding of the confidential nature of the role.
